About The Position

The Catering Coordinator position at Bon Appétit involves managing sales, marketing, administration, and coordination for catering events. This role requires strong attention to detail, excellent communication skills, and the ability to multitask across various projects. The coordinator will be responsible for maintaining event data, preparing proposals, and supporting sales initiatives, ensuring smooth operations for both on and off-premise events.

Requirements

  • Catering experience and experience setting up events.
  • Knowledge of reading banquet event orders.
  • Experience in dining, catering, and/or events.
  • Experience in restaurants, hotels, corporate dining, education, military, health care, or related food service operations.
  • Excellent communication, customer service, and organization skills.
  • Proficient computer skills including MS Office products (Word, Excel, PowerPoint, Outlook).
  • Bachelor's degree in Hospitality or Marketing is preferred.

Responsibilities

  • Input and maintain all reserve data for events including inquiries, tentative and definite.
  • Detail function sheets with equipment needs and rental orders.
  • Create captain's packets for each event including staff sheets, equipment pulls, beverage pulls, signage, and expo sheets.
  • Assemble and maintain organized event files including correspondence, orders, invoices, payments, and proposals.
  • Process certificate of insurance requests.
  • Intake inquiries including event information such as client contact, date, time, format, number of guests, and location.
  • Prepare proposals for events and submit staff requisitions.
  • Support sales initiatives through research, marketing interface, communications, and sourcing.
  • Work with the marketing department on materials and promotions.
  • Assist with client walkthroughs of venue spaces and provide on-site sales representation at events.
  • Receive and process all deposits.
  • Review reserve financial entry to assure accurate forecasting and communicate with accounting as needed.
  • Prepare final event invoicing and expense reports on a monthly basis.
  • Assist in scheduling meetings, appointments, travel, etc.
  • Perform other duties as assigned.
