About The Position

As a Catering & Conference Services Manager at Ponte Vedra Inn & Club, you will be at the forefront of ensuring that our corporate clients and guests experience unparalleled service and world-class events. Requirements

  • College degree required with a major in related field; i.e., Hotel Management, Business or Marketing.
  • 2 years prior experience in Conference & Catering coordination.
  • Ability to speak, read, write and comprehend the English language effectively.
  • Must be computer literate.
  • Basic understanding of food service, fine dining etiquette, and beverage service.

Responsibilities

  • Coordinate special events resulting in member satisfaction and financial prosperity for the Club.
  • Maintain a flexible schedule, including weekends, holidays, and split shifts.
  • Consistently arrive on time and in proper uniform, ensuring a polished and professional appearance.
  • Adhere to personal grooming guidelines and present a clean, well-kept appearance.
  • Actively participate in all required training programs, safety courses, and departmental meetings.
  • Report and follow up on any safety concerns to support a safe working environment.
  • Maintain comprehensive knowledge of menu offerings to guide clients in menu planning.
  • Contribute to revenue growth through strategic upselling and creative menu recommendations.
  • Plan, coordinate, and execute all aspects of assigned events with a focus on guest satisfaction.
  • Build and maintain positive working relationships with clients, vendors, and colleagues.
  • Prospect and sell catering events, focusing on daytime meetings and social functions.
  • Serve as the on-site liaison for events, coordinating logistics with internal and external partners.
  • Manage all rental orders for catering events, ensuring accurate coordination of logistics.
  • Prepare and distribute all event-related correspondence in a timely manner.
  • Ensure all event details are documented and communicated to relevant departments.
  • Monitor and track event guarantees, ensuring accurate dissemination to teams.
  • Attend all scheduled departmental meetings and come prepared to discuss events.
  • Utilize departmental systems accurately to ensure all event details are entered correctly.
  • Stay up to date on trends and innovations in catering and event planning.
  • Complete staff performance evaluations in accordance with company timelines.
  • Review and ensure the accuracy of departmental payroll prior to submission.
  • Respond to special event inquiries and direct them to appropriate departments.
  • Perform additional responsibilities as assigned by the Director of Catering & Conference Services.
