Requirements

  • Proven experience (3-5 years) as a data analyst/Coordinator or similar role
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
  • Highly organized and detail oriented – Manage and deliver high quality, error-free work product on multiple tasks simultaneously
  • Polished and professional in phone and email communications
  • Excellent prioritization / time management skills – Must work efficiently and effectively under pressure and time constraints
  • Exceptional problem-solving skills and strong work ethic
  • Very strong interpersonal skills and the ability to build relationships

Nice To Haves

  • Experience with SharePoint preferred but not required

Responsibilities

  • Council Meeting Coordination
  • Maintain daily Council Approval meeting calendar and proactively resolve scheduling conflicts that arise in a professional and timely manner
  • Anticipate necessary deal approval route, and liaise with executives and line management to gather or convey relevant information
  • Work with Deal Teams to ensure accuracy of Deal Memos submitted for approval and completion of Regulatory & Compliance items
  • Circulate meeting planners, deal materials and confirmation emails to council members, deal team contact, and Capital Commitments Chair
  • Handle sensitive and/or confidential documents and information with discretion
  • Data and Reporting
  • Create meeting minutes and maintain distribution group lists
  • Track all deal information, materials and minutes/approval summaries/electronic approvals in SharePoint in to support routine reporting
  • Ensure accuracy of all database entries
  • Calculate approved deal totals to prepare weekly reports to track Capital Commitments transactions
  • Leverage daily reports from Investment Grade and Leveraged Finance Syndication partners to maintain accurate transaction pricing
  • Assist with Quarterly reports to track Capital Commitments Global deal flow
  • Co-ordinate and support requests for information to support internal and external audits and regulatory requests
  • Assist with updating/managing Council related templates/Policies & Procedures on the Capital Commitments Website
  • Administrative Support
  • Answer manager's phone line, documenting accurate messages, and handling calls with appropriate judgment
  • Arrange and handle details related to travel arrangements, expense reports, meetings, and appointments
  • Additional executive calendar management as needed
