About The Position

As a key member of the Girl Leadership Experience Team, the Camp & Expanded Engagements Coordinator supports the planning, organizing, and coordination of the administrative processes that ensure girls receive an impactful outdoor leadership experiences and year-round engagements aligned with defined objectives and key performance indicators (KPIs). The Camp & Expanded Engagements Coordinator is responsible for managing the year-round administrative and operational processes that support exceptional camp experience and expanded opportunities. This role blends event coordination, close collaboration with the camp team, and comprehensive administrative support—both behind the scenes and through on-the-ground, in-person assistance during camp programs or at other engagements. Success in this position requires a strong understanding of youth development and environmental education. The coordinator plays a key role in keeping this fast-paced team organized and efficient by creating and maintaining systems that ensure compliance, streamline communication, and enhance the overall quality of the camp experience.

Requirements

  • Bachelor’s Degree preferred or 2- 4 years of experience in an administrative position, youth development, informal education or outdoor program coordination.
  • Strong communication, collaboration, and interpersonal skills, with the ability to engage effectively with youth, families, volunteers, and staff.
  • Proven ability to work independently and as part of a team to identify, analyze, and solve problems creatively.
  • Excellent time management and organizational skills; able to manage multiple projects and meet deadlines in dynamic environments.
  • Proficiency with Microsoft Office 365, social media platforms, and web-based applications for communication and event management.
  • Flexibility to work evenings, weekends, and extended hours as needed, including on-site program weekends and summer sessions; ability to travel to Camp Kaufmann regularly and occasionally throughout the five boroughs.

  • Passionate about the work and impact potential of the Girl Scout movement on youth members.
  • Valid US Driver’s license

Responsibilities

  • Promote, recruit and ensure members of Troop 6000 are exposed to a year-round camp experiences, leading to readiness for an independent summer camp experience. Comprehensive collaboration with the Camp Team.
  • Coordinate and support expanded Girl Scouts opportunities through out the year that might include; workplace visits, speaking engagements, cookie sales or corporate opportunities among other engagements.
  • Maintain organized systems for participants communications, participation and all proper documentation including health forms, camper records and trip permission forms.
  • Manage camper inventory, ordering, and distribution of materials in preparation for all camp events. Strong communication with caregivers and families.
  • Track and maintain camp and expanded experiences budgets in line with approved line items.
  • Lead communicator of the camp strategy with staff, volunteers and caregivers.
  • Ensure proper transportation for every camp and expanded experience. Lead negotiator with bus company. Ensure Troop 6000 staff support at every bus stop, to and from trips to Camp Kaufmann.
  • Provide exceptional support and communication to staff, troop leaders, caregivers, and volunteers before, during, and after events.
  • Build and maintain positive relationships with Girl Scouts, volunteers, and staff, fostering an inclusive and empowering camp culture.
  • Collaborate with departments such as Camp Team, Volunteer Experience & Support, Finance, Advancement, and Customer Care to ensure smooth program operations and member satisfaction.
  • Coordinate all aspects of day and overnight events, collaborating with the Camp team to ensure activity schedules, curricula, supplies, meals, and logistics are all set up for Troop 6000 campers.
  • Coordinate logistics for all expanded experiences, ensuring girl registration, supplies, transportation and food coordination.
  • Collaborate to develop event materials such as certificates, name tags, gift bags, and themed giveaways.
  • Purchase all necessary supplies for Troop 6000 members to ensure their success and readiness for their experience. Includes proper organization of the Troop 6000 shed located at Camp Kaufmann.
  • Work closely with Camp team to track inventory, item ordering, and arrange for Troop 6000 campers to attend Market.
  • Manage communication and promotions through digital tools (e.g., BAND app, Instagram, etc.) as well as internal cross-department communications and collaborations with GSGNY Marketing and Communication team members.
  • Collaborate in creating a yearly calendar for Troop 6000 campers ensuring a proper nature acclimation process that leads to a sleepaway independent experience.
  • Lead Troop Camping weekends and support development and implementation of Environmental Leadership and Outdoor Skill-Building programming aligned with GSUSA curricula and outcomes.
  • Serve as a lead during Day Trip and Overnight Camp Events for all Troop 6000 experiences, ensuring engaging and educational experiences for participants that are aligned with intended outcomes.
  • Serve as the lead to coordinate all aspects of expanded experiences including all workplace visits, cookies sales and corporate events.
  • Ensure proper training of staff, volunteers and caregivers attending camp events.
  • Apply sound judgment and best practices in youth supervision, risk management, and emergency procedures as trained.
  • Support the Camp Team in enforcing and maintaining all regulatory agencies standards and proper documentation, including GSGNY, GSUSA, Department of Health and American Camp Association.
  • Work on-site at camp approximately 2–3 weekends per quarter during the school year (72-hour weekends).
  • Participate and support on-site summer campers, 2 – 3 days a week during a 5-week summer camp season.
  • Assist with camp program logistics as needed, including meal prep, set-up, clean-up, and activity facilitation.
  • Serve as a key member of the camp leadership team during emergencies or critical events, taking an active role in implementing safety protocols as trained and directed by the Camp team.
  • Other duties, as deemed necessary.
