The Administrative Assistant plays a vital role in the daily success of Camp Lincoln and Camp Lake Hubert, supporting both camps through exceptional organization, communication, and operational excellence. This role supports both camps equally and requires spending part of each day at each camp location. The Administrative Assistant is trusted with sensitive information, works closely with Camp Directors, and ensures smooth, professional operations throughout the year—especially during the busy camp season. Requirements

  • Ability to lift up to 25 pounds occasionally
  • Minimum 3 years of administrative experience
  • Proficiency with: CampMinder 2.0 HRIS systems (e.g., ADP) Microsoft Office Suite

Nice To Haves

  • Experience in recreation, summer camps, or executive administrative support strongly preferred
  • Bachelor’s degree in Administration or a related field preferred
  • Project management and presentation skills a plus

Responsibilities

  • Split office time evenly each day between Camp Lincoln and Camp Lake Hubert
  • Create and manage daily schedules for seasonal office staff
  • Maintain organized, professional office environments at both camps
  • Cleanse and maintain databases, camper folders, and records
  • Maintain office systems, templates, and operational tools
  • Serve as the primary administrative contact for both camps
  • Manage camp inboxes and mass email communications
  • Oversee camper enrollment processing and weekly enrollment reporting
  • Follow up with families on required camper forms and documentation
  • Maintain alumni and camper records
  • Manage payment cycles, including invoicing, reminders, and follow-ups
  • Verify daily petty cash accuracy for both camps
  • Support system accuracy and data integrity
  • Train and supervise seasonal office staff during summer operations
  • Work extended hours on camper arrival and departure days
  • Assist Camp Directors with written and mailed communications
  • Handle incoming calls, voicemails, and message routing
  • Perform other camp or administrative duties as assigned
