About The Position

The Office of the Vice Chancellor for Access and Engagement is seeking a Business Services Coordinator to serve as a central member of our Administrative Core. This position plays a key role in supporting programs and initiatives across the office by serving as the intake and coordination hub for administrative and financial processes. The role offers an opportunity to gain hands-on experience with university business operations while contributing to programs that advance community engagement, access, and educational opportunity. In this role, you will support day-to-day business activities including procurement and travel coordination, tracking and routing documentation, responding to internal and external inquiries, and assisting with program logistics and events. You will work closely with colleagues across campus and gain exposure to a variety of university systems and operational processes. This is an excellent opportunity for someone who is organized, detail-oriented, and interested in building experience in higher education administration within a collaborative and mission-driven office.

Requirements

  • Bachelor's degree from an accredited institution.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.

  • Familiarity with enterprise systems (e.g., procurement, travel, HR) or ability to learn new systems quickly.
  • Demonstrated attention to detail and ability to manage multiple requests in a structured environment
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Strong attention to detail and accuracy in reviewing and processing documentation.

  • Ability to assess incoming requests and direct them to the appropriate process or individual based on established procedures.
  • Demonstrated follow-through and accountability in monitoring transactions and ensuring completion of assigned tasks.
  • Ability to maintain organized electronic and shared records to support compliance and operational transparency.
  • Ability to learn and apply University systems, policies, and procedures in a consistent and timely manner.
  • Ability to maintain professionalism and composure while serving as a first point of contact for internal and external stakeholders.

  • Experience providing administrative or customer service support in a professional environment (e.g., office, school, nonprofit, or community organization).
  • Experience working with shared documents, spreadsheets, or tracking systems.
  • Experience supporting meetings, events, or program logistics.
  • Experience with procurement, travel, reimbursement, or other financial transaction systems and processes.
  • Experience supporting recruitment and hiring processes, including preparing hiring documentation, coordinating onboarding support, and maintaining personnel records.

Responsibilities

  • Serve as the central intake contact for the office, receiving administrative and financial requests and directing them to the appropriate process or staff member.
  • Process and route documentation related to procurement, travel, stipends, scholarships, vendor onboarding, and other business operations in accordance with established procedures.
  • Track and monitor the status of requests, approvals, and payments to support timely completion and accurate recordkeeping.
  • Maintain organized tracking systems and documentation to support operational transparency and compliance.
  • Coordinate logistical support for meetings and programs, including room reservations, catering requests, and occasional onsite event assistance.
  • Provide administrative support for onboarding, offboarding, and routine personnel documentation.
