About The Position

This position will serve as the Business Services Coordinator for the Comprehensive Cancer Control Branch, with the primary task of supporting the Branch Operations Manager and the Branch Programs (BCCCP, WISEWOMAN, Comprehensive Cancer, and NCPICCS). It is the responsibility of this position to support all program and financial activities for these programs ensuring that both Federal and State funds are properly allocated in conjunction with the North Carolina Administrative Codes, work plans, and through Cooperative Agreements with the Center for Disease Control and Prevention (CDC). The person in this position will also be cross-trained on a variety of high level administrative tasks including procurement, travel and conference authorizations, and fixed assets.

Requirements

  • High school of General Educational Development (GED) diploma and five years of related administrative experience OR An equivalent combination of education and experience.

  • Demonstrated experience with contract development and management, including document preparation, development, coordinating contract documentation, maintaining contract trackers, entering agreements into contract management systems, and ensuring compliance with agency policies and timelines.
  • Experienced in preparing fiscal responses, assisting with grant reporting, and providing technical assistance to vendors, contractors, and providers to ensure compliance with funding and reporting requirements.
  • Demonstrated ability to support fiscal operations.
  • Skilled in exporting, analyzing, and disseminating monthly financial reports, managing expenditure logs, reconciling invoices in financial systems, and supporting accurate fiscal reporting.
  • Proficiency with the NC Financial System (NCFS), NC contract system (Open Window), and/or E-Procurement.

Responsibilities

  • Assist the Operations Manager and program staff with contracts, agreement addendum, revisions, amendments. Help with document preparation and coordination, enter contracts into Open Window, manage the contracts tracker, and take meeting minutes.
  • Receive, code, and route contract expenditure reports and tracking logs, export and disseminate monthly Aid to County reports, and perform various tasks related to agreement addendum monthly expenditure reports in Smartsheet.
  • Provide support of financial activities in coordination with the Operations Manager and Program Managers. Assist with task completion of all fiscal-related activities (budget development and monitoring, preparing responses related to CDC grant deliverables, assisting with the development and completion of grant deliverables, performing yearend closeout activities, and acting as a liaison between the Branch and the Budget Office, etc.). Provide technical assistance to vendors, contractors, and providers, as needed.
  • Serve as backup for other administrative tasks, as needed, including procurement, processing travel and conference authorizations and reimbursements, and assisting with surplus and inventory activities.
  • Other duties as assigned.
