In this vital role, you will provide administrative, clerical, and analytical support to the Business Services department, helping ensure efficient operations across a variety of functions. As a Business Services Assistant, you'll be responsible for preparing reports, coordinating meetings, managing contracts, auditing reimbursements, updating fee schedules, and assisting with departmental needs such as onboarding and supply management. Requirements

  • High school degree or equivalent.
  • Minimum of two years of experience working in a medical clinic or insurance environment preferred.
  • Administrative business office experience preferred.
  • Ability to multi-task and work under pressure in a deadline driven environment with changing priorities.
  • Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationship with patients, families, physicians, staff and other customers.
  • Strong organizational, analytical, and problem-solving skills.
  • Knowledge of medical terminology, medical billing, and collection practices.
  • Knowledge of health insurance claims processing.
  • Ability to read and interpret an Explanation of Benefits (EOB).
  • Strong customer service skills.
  • Basic knowledge of Microsoft Word and Excel.

Responsibilities

  • Prepare daily, weekly, and monthly reports as assigned.
  • Coordinate, support, and attend Business Services department meetings as needed.
  • Schedule meetings, create agendas, prepare documents to support meeting agenda, document and disperse meeting minutes, develop and execute action lists.
  • Maintain insurance and vendor contract repository, develop and maintain tracking system for contract terms/conditions/deliverables, and monitor/report contract renewal/termination dates.
  • Analyze and audit insurance payor allowable and reimbursement to ensure proper claim payment.
  • Coordinate, implement, and maintain quarter and annual updates to insurance fee schedules including analyzing and reporting changes and determining potential financial impact to the organization.
  • Coordinate, implement, and maintain annual updates to clinic fee schedule.
  • Support the Business Services department with new employee onboarding, reporting IT related issues, and the ordering of supplies.
  • Maintain patient, staff, physician, and management confidentiality.
  • Performs other duties as assigned.
