  • 5+ years of experience leading company-wide documentation, policy, and process management initiatives.
  • Proven ability to design and maintain a structured policy and process framework across multiple business functions.
  • Strong writing and organizational skills with exceptional attention to clarity and detail.
  • Experience collaborating with senior leaders and SMEs to design and capture accurate and effective processes and documentation.
  • Proficient in workflow and documentation tools such as Podio, SharePoint, Notion, Confluence, or similar.
  • Excellent communication and facilitation skills, with the ability to manage input from multiple departments and drive consensus.
  • Highly organized, analytical, and proactive in maintaining accuracy and accountability across all documentation.
  • Strong understanding of digital collaboration and knowledge management systems.
  • Previous experience implementing process and document management solutions, such as Notion or Confluence.

Nice To Haves

  • Lean Six Sigma Green Belt or Black Belt, highly sought after.

Responsibilities

  • Design and oversee a company-wide framework for creating, maintaining, and storing policies, procedures, and process documentation.
  • Lead the creation and revision of processes, policies and procedures in partnership with departmental SMEs to ensure alignment, accuracy, and consistency across the organization.
  • Develop templates, standards, and version control protocols for all documentation.
  • Maintain a central, accessible repository for company policies and processes (integrated with Podio or other platforms).
  • Facilitate cross-department collaboration to ensure policies and procedures are practical, cost effective, technologically optimized, compliant, and clearly communicated.
  • Coordinate policy and process reviews on a defined cadence to ensure processes and documentation remain current and relevant.
  • Identify opportunities to streamline operations, reduce redundancy, and improve the usability of documented processes.
  • Recommend tools or systems that improve documentation management, collaboration, and visibility across teams.
  • Provide guidance, training, and communications to ensure all employees understand how and where to access current policies and processes.
  • Serve as the point of contact for policy governance, documentation standards, and procedural alignment.
  • Lead "Deep Dive" investigations into operational failures to engineer permanent technical solutions rather than temporary workarounds.
  • Evaluate manual processes for automation potential, partnering with the Technology team to integrate workflows into Podio or other digital systems.
  • Ensure all engineered processes are built to scale with company growth, maintaining consistency across HR, Accounting, Media, and Operations.
