About The Position

We have an opening for a Business Operations Specialist to directly support the WSC Computational Physics Associate Program Director, technical staff, and project leaders, You will be an integral member of a highly dynamic office and will work with management to track deliverables and respond to stakeholders. You will work independently following established procedures to assess business, operational and organizational requirements and deliverables and apply general knowledge of policies, procedures, and practices to develop, improve and implement operational activities. This position is in the Weapons Simulation and Computing (WSC) Program within the Strategic Deterrence (SD) Directorate. In this role, you will Evaluate, develop, improve, and implement a variety of operational requirements and activities for the Weapons Simulation and Computing Program. Provide high level of executive support to the Associate Program Director and other members of the Computational Physics program. Manage and process Recognition & Awards for Computational Physics program. Represent the Weapons Simulation and Computing Program on self-assessment, audit teams, or work-related committees and lead projects to assess, set and establish protocol and procedures for the work unit. Oversee workload leveling, responding to, assigning, and coordination of tasks amongst the administrative team including coordinating external visits, verifying security clearances, preparing agendas, processing badging requests, and information dissemination. Participate in training and career development and provide input on performance management to the administrative staff’s supervisor(s). Collect, validate, interpret, business, operational and/or organizational planning data in support of strategic and/or workforce planning activities for the work unit. Lead in coordinating and executing classified program reviews, meetings, workshops, and conferences of a technical nature. Establish and maintain databases, spreadsheets, and tracking/filing systems utilizing Confluence and Teams, and prepare and review reports for management decision making. May assist with tracking budgets and expenditures, working closely with the business operations manager and resource manager. Interpret institutional and organizational policies and procedures. Serve as back-up support to the administrative team and Program Administrator. Perform other duties as assigned.

Requirements

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
  • Experience coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional.
  • Experience participating in business, operational and/or organizational activities.
  • Experience working on organizational projects with the ability to understand, interpret, and apply related policies and procedures.
  • Effective analytical, problem solving and decision-making skills necessary to independently advise, resolve, recommend and approve appropriate actions to implement solutions.
  • Effective interpersonal skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment.
  • Experience leading administrative projects effectively and ability to understand, interpret, and apply operational related policies and procedures; advanced organizational skills, attention to detail, accuracy, and follow through.
  • Knowledge of personal computers and associated software including MS Office applications and experience developing reports for use in management decision making.
