About The Position

The Business Operations Manager oversees the day-to-day operational functions of the Colorado Center for Personalized Medicine (CCPM), ensuring efficient and compliant business practices across multiple domains. This position is responsible for managing procurement and contracting, human resources coordination, space planning, IT management, communications, event planning, and programmatic support for CCPM’s academic and research initiatives. The Manager serves as a strategic partner to leadership, driving process improvements, implementing operational strategies, and fostering collaboration across units. This role supervises a team of three staff and plays a key role in supporting CCPM’s mission through effective business infrastructure and operational excellence.

Requirements

  • Bachelor’s degree in Business Administration, Public Administration, Management, or related field.
  • 5+ years of experience in business operations, procurement, or administrative management in a complex organization.
  • Experience supervising others.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.
  • Strong communication and leadership abilities.
  • Strong knowledge of procurement and contracting policies; ability to interpret and apply complex guidelines.
  • Excellent organizational, problem-solving, and process improvement skills.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Proficiency in CU Marketplace and other university systems, Microsoft Excel, Smartsheet, and LucidChart.
  • Familiarity with various business compliance needs (HIPAA, NIH).

Responsibilities

  • Lead operational strategy and process improvement initiatives to streamline workflows, reduce costs, and enhance efficiency.
  • Oversee human resources coordination, including recruitment support, onboarding, and personnel documentation.
  • Manage space planning and allocation for CCPM offices and labs; coordinate moves and renovations.
  • Oversee desktop IT coordination, ensuring timely support and alignment with institutional IT standards.
  • Develop and maintain centralized systems for agreements, business documentation, and operational records; train staff on usage.
  • Draft and manage memorandums of understanding and agreements with CCPM partners; coordinate revisions and maintain tracking systems.
  • Lead communications and event planning for CCPM, including internal updates, outreach activities, and major events.
  • Serve as CCPM’s procurement and contract manager, acting as liaison between vendors, CCPM, and the Procurement Service Center.
  • Provide expert guidance on purchasing activities, funding source appropriateness, and compliance with university policies; train staff and faculty as needed.
  • Manage all purchasing transactions in CU Marketplace, including purchase orders, payment vouchers, and other instruments.
  • Oversee complex IT solicitations and agreements with industry partners; ensure timely execution and compliance.
  • Monitor PO encumbrances and review expense reports and p-card transactions.
  • Maintain and update internal procurement processes based on evolving guidelines and best practices.
  • Oversee administrative support for CCPM academic initiatives, including graduate certificate and degree programs.
  • Coordinate education and outreach activities, ensuring alignment with CCPM’s strategic goals.
  • Work in close partnership with CCPM’s Associate Director for Program Education on management and implementation of CCPM’s membership program and seminar series.
  • Oversee support for research committees such as the Access to Biobank Committee through scheduling, documentation, and coordination.
  • Assist in launching new CCPM education and research initiatives by providing operational and administrative infrastructure.
  • Directly supervise three staff members, including performance management, workload prioritization, and professional development.
  • Provide leadership across purchasing, HR, IT coordination, space management, and administrative functions.
  • Foster a collaborative, inclusive team environment aligned with CCPM’s mission and values.
