As our Business Operations Manager, you will own and manage the core operational infrastructure that keeps Mood Health running day to day. This role is ideal for a detail-oriented, systems-minded operator who thrives in healthcare environments and enjoys wearing multiple hats across finance, compliance, and internal operations. You’ll partner closely with leadership, external vendors, and internal teams to ensure our financial processes are accurate, compliant, and efficient—while building scalable systems to support continued growth.

Requirements

  • 5+ years of experience in business operations, healthcare operations, finance, or compliance
  • Highly organized, detail-oriented, and comfortable managing competing priorities
  • Confident working with financial data, reporting, and forecasting models
  • Strong understanding of regulatory and compliance requirements in healthcare
  • Proactive, hands-on, and comfortable operating in a fast-paced startup environment
  • Excellent written and verbal communication skills, with the ability to partner across teams and vendors

Nice To Haves

  • Experience working within a healthcare, mental health, or PC/MSO environment strongly preferred

Responsibilities

  • Own monthly financial operations, including MSO fee billing, invoicing, escrow transfers, and leadership reporting
  • Manage KPIs, forecasting, and supply/demand planning to support hiring and growth decisions
  • Approve and oversee bi-weekly payroll, ensuring accuracy, funding, and compliance
  • Lead state, city, and regulatory filings, partnering with our registered agent and handling filings they do not support
  • Own and maintain compliance documentation, including consent forms, privacy policies, and annual audits
  • Manage insurance programs (workers’ comp, D&O, professional liability), including renewals and audits
  • Review and organize vendor and payer contracts, ensuring compliance and proper execution before signature
  • Oversee operational vendors, mail workflows, and internal systems, ensuring smooth day-to-day operations
