About The Position

The Business Manager provides on-going fiscal and payroll support to all programs under the Western Massachusetts Adult Service Center. The essential functions of this position are payroll support, monitoring and processing the P-Card/petty cash system, managing center rep payee accounts, and processing accounts payable as it relates to divisional expenses, including calculation of room and board. The Business Manager carries out internal control procedures and is the liaison to Corporate Finance Department for providing on-going information around fiscal and payroll activities

Requirements

  • Min 3 years’ experience with accounts payables & receivables, payroll and managing financial records
  • Attention to detail and ability to effectively multi-task and prioritize.
  • Ability to maintain confidential financial records adhering to organization’s privacy and security policies and procedures.

Nice To Haves

  • Bachelor’s degree preferred
  • Experience with QuickBooks preferred.
  • Experience with Dayforce a plus

Responsibilities

  • Manage Payroll & Financial Operations
  • Finalize and submit payroll
  • Train supervisors on payroll and financial procedures
  • Perform internal control procedures according to sound accounting practice under the policy and procedure of the May Institute
  • Oversee Accounts & Financial Systems
  • Monitor and process the P-Card system
  • Monitor and process the Food Stamp system
  • Manage Rep Payee accounts
  • Audit Individuals Spending Accounts monthly
  • Monitor and maintain the Center checking account
  • Billing & Compliance
  • Conduct billing and compliance audits as requested
  • Process invoices through Corporate Finance or the local reimbursement process
  • Collect Service Delivery Reports (SDR) audits and submit to corporate accounting
  • Maintain proper programs information flow with corporate offices
  • Administrative Support
  • Special purchasing
  • Provide administrative support to program staff as necessary
  • Supervise the Administrative Assistant as a direct supervisor
  • Other projects assigned by the immediate supervisor
  • Policy & Security Compliance
  • Adhere to May Institute Policy and Procedures which protects the privacy and security of consumers and staff information
  • Maintain the security of electronic media and return media to his/her supervisor when appropriate
