About The Position

The business manager organizes for and ensures South Puget Sound Habitat maintains good standing in a variety of public funding and business areas. Additionally, the manager drives activity tracking and safety standards for the organization. In all responsibilities, they work both independently and across teams to build processes, gather information, deliver trainings, execute reporting, and continuously scan for improvement opportunities. You may have some experience in grants management, construction operations, safety, or business administration, but above all you bring the organizational, collaborative, and discretionary skills to manage many different timelines and stakeholders successfully. Requirements

  • Bachelor’s degree or equivalent professional work experience
  • Five years of relevant, progressively responsible work experience (e.g. business management, administration, grant compliance, construction operations, finance, etc.)
  • Exceptionally organized with the ability to prioritize for scheduled and unexpected deadlines
  • Demonstrated aptitude for proactive process development, documentation, training, and implementation
  • Strong relationship building skills and an ability to work constructively with a variety of people
  • Excellent written and verbal communication skills
  • Tech-savvy generally, with a strong understanding of spreadsheets and list/project management applications; an ability to adopt and optimize new technologies
  • Proven ability to handle sensitive and confidential information with discretion
  • Ability to pass a background and reference check

Responsibilities

  • Business Management (30%): The manager ensures we achieve and remain in good standing in key organizational compliance and financial activities. Responsibilities generally include: Ensure on-time, fully compliant registrations, renewals, certifications, and reports associated with our organizational well-being (e.g. Habitat International reporting, state reporting, business licenses, registrations, loan requirements, insurance, exemption requests, training certificates, etc.). Create and manage sharable tracking and task system to manage activities associated with recurring and one-time requirements. Work with appropriate team members to prepare for, complete, and submit requirements. Assist in budget development and in the facilitation of organizational and project financing. Using Habitat International resources and own research, develop and implement select organization-wide policies and procedures; conduct periodic update reviews. Support all home closings with process and file management, communicating across parties as needed. Complete other relevant projects as assigned.
  • Grant Contract Execution, Compliance, and Reimbursement (40%): The manager ensures we proactively execute grant award contracts and all compliance, reimbursement, and reporting requirements. Responsibilities generally include: Create contract and compliance tracking and task system to manage on-time, fully compliant contracts and reporting; maintain schedule of milestones for organization-wide use. Build two-way communication relationships with all grant officers, relevant managers, and associated contractors; proactively communicate needs and statuses. Take all awards to executed contracts without avoidable process delays. Complete and submit all contract reporting in coordination with appropriate team members. Develop and document, in coordination with directors, team-wide and team-specific business rules and protocols for built-in, ongoing compliance for current and expected awards. Work closely with finance and administration director to track fund balances and reimbursement schedules, and to develop draw strategies based on grant requirements, funding stack composition, and organizational production goals. Record grant-related invoices and coding in financial systems and submit reimbursement requests regularly.
  • Activity Tracking (10%): The manager facilitates organization-wide service tracking for centralized record keeping. Responsibilities generally include: Coordinate with relevant team members to collect and record programmatic counts (e.g. construction and repair production, education hours, counseling sessions, trainings, etc.). Build and maintain tracking system; manage information requests and sharing.
  • Safety Program (20%): The manager ensures all organization operations meet and routinely maintain strong safety and security standards. Responsibilities generally include: With team input and following up-to-date industry standards, develop or improve safety, security, and emergency policies and procedures for identified functional areas (e.g. build sites, repair sites, stores, driving, volunteers, cyber, etc.). Create ongoing training schedule and deliver team and individual trainings as appropriate. Create certifications maintenance schedule and work with identified team members to maintain compliance. Act as point-person for coordinating safety-related incidents, questions, or concerns to resolution.
  • Leadership, Teamwork, and Inclusivity All team members are responsible for contributing to overall organizational health through positive collaboration, leadership, personal integrity, and a commitment to equity and inclusion. Responsibilities generally include: Maintain a “team first” outlook, supporting the success of the team and the mission in attitude, ideas, and actions; lead by example and with active, creative input for growing and improving the organization. Meet and endorse organization standards for record keeping and information sharing. Contribute to organization events, helping as necessary with set up/take down, management, networking, various tasks, etc. Participate in intentional learning efforts, including activities relating to understanding institutional racism and building cultural competency.
