About The Position

The Business Development Coordinator is responsible for supporting the company's growth initiatives by identifying new business opportunities, managing outreach efforts, coordinating meetings, and ensuring consistent follow-up across all sales activities. This role works directly with the CEO to develop partnerships and generate new business within the following sectors: Private aviation and charter catering Sports team travel and tournament catering Global catering and concierge services The position plays a critical role in maintaining an organized and active sales pipeline and ensuring all opportunities are effectively tracked and advanced.

  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with strong follow-through.
  • Proficiency in Microsoft Office (Outlook, Excel, Teams).
  • Experience with CRM systems preferred (Dynamics 365 a plus).

  • Background in sales support, business development, or coordination.
  • Experience in hospitality, catering, aviation, or sports industries.
  • Experience supporting senior leadership or executives.

Responsibilities

  • Research and identify prospective clients and partners, including charter brokers, aviation companies, sports travel organizations, tournament operators, team operations and travel coordinators, FBOs, airport-based businesses, and other strategic partners.
  • Develop and maintain targeted prospect lists aligned with the company's growth priorities.
  • Conduct outbound outreach via email, LinkedIn, and phone.
  • Schedule meetings for the CEO with qualified prospects.
  • Confirm and manage meeting logistics.
  • Prepare meeting briefs and background information before appointments.
  • Maintain all contacts and opportunities within Dynamics 365.
  • Track lead source, communication history, next steps, and deal stage.
  • Ensure each opportunity has a defined next step and owner.
  • Maintain accurate and organized pipeline data for visibility and accountability.
  • Send follow-up communications within 24 hours of meetings.
  • Coordinate next steps and additional meetings.
  • Ensure all opportunities are actively managed and advanced.
  • Support long-term relationship development efforts.
  • Assist in preparation for industry events and conferences.
  • Schedule meetings in advance of events and prospecting trips.
  • Travel with leadership to key conferences and meetings as needed.
  • Document meetings and update CRM accordingly.
  • Work closely with Client Success and Operations teams.
  • Facilitate smooth handoff of new clients from sales to execution.
  • Ensure alignment between business development and operational capabilities.
