Position Summary The Business Development Assistant helps keep the Business Development (BD) team organized and running smoothly. This entry-level role focuses on basic data entry, scheduling, preparing simple materials, and supporting routine processes. The Assistant helps maintain accurate information in Salesforce, coordinates meetings and visits, and assists with follow-up steps so prospective advisors move through each stage of the business development and onboarding process.

Requirements

  • High school diploma required. Some college or relevant coursework preferred.
  • Customer service, administrative, or office experience preferred but not required.
  • Familiarity with Salesforce or other CRM systems is helpful but training will be provided.
  • Basic Excel/Sheets skills (sorting, filtering, simple formulas) preferred.
  • Requires vision, speech, and hearing, and a low level of physical activity to include sitting, standing, walking, lifting, and carrying as required.

Responsibilities

  • Schedule meetings, keep calendars updated, and prepare basic meeting notes or summaries for the BD team.
  • Help organize agendas and logistics for prospect calls, office visits, and similar activities by confirming details and preparing standard materials.
  • Assemble prospect packets and track simple deliverables, ensuring follow-up tasks are completed on time.
  • Make outreach calls or send emails to confirm information, collect missing details, and help arrange meetings.
  • Support BD representatives by helping track pipeline tasks, reminders, and follow-ups.
  • Work with internal teams such as Legal, Compliance, Operations, and Finance by gathering needed information and passing along updates so documentation can move forward.
  • Maintain a basic issues log and track updates until items are resolved.
  • Update Salesforce records, meeting notes, and pipeline fields based on information provided by team members.
  • Enter advisor and partner data accurately and keep records current.
  • Assist in pulling routine reports and updates showing pipeline status and key metrics.
  • Help maintain written procedures by recording steps and updates as directed.
  • Make sure files, communications, and data are handled according to company guidelines.
  • Assist with event coordination, scheduling, and routing advisor questions to the correct internal team.
  • Keep Salesforce records updated for advisor interactions, statuses, and follow-ups.
  • Prepare basic profiles or summaries for internal presenters before home office visits.
  • Support BD team tasks such as meeting preparation, event logistics, and follow-up emails.
  • Help generate and distribute regular pipeline reports.
  • Perform other routine administrative duties as assigned.
