About The Position

This position has primary responsibility for processing and monitoring the appointment of internal and external licensed agents for the health plan's Group, Individual and Medicare segments. This position will also provide front-end support to agents for their administrative needs, including their appointment and commission payment inquiries and issues, as well as back-end support for internal sales, service and support reps in their efforts to provide best-in-class service to the agents, agencies and general agencies. This position will work closely with the commission payment and accounts payable departments within the health plan to coordinate proper documentation and accurate and timely commission and bonus payments.

Responsibilities

  • Review agent appointment application packets and appoint agents in a timely manner with the Department of Financial Services (DFS) or deny appointments in accordance with Florida Statutes, Centers of Medicare Services (CMS) requirements and health plan procedures.
  • Order and review background and credit reports on agent applicants.
  • Perform OIG/GSA exclusion checks prior to contracting and monthly thereafter on agents as defined by procedure.
  • Terminate and renew appointments with DFS according to statutes and health plan guidelines, including sending the required notices of termination.
  • Maintain the agent appointment data in the agent database within the Broker Master or Customer Relationship Management (CRM) system(s) to reflect the most up-to-date and accurate information.
  • Maintain accurate, complete and updated agency and agent files in system.
  • Respond with a sense of urgency to agent calls and emails in order to provide best in class service to these constituents.
  • Provide proper follow up and follow through to agent/agency issues to ensure timely resolution.
  • Prepare and send agent welcome letters and other general agent and agency correspondence as needed regarding their appointments, assignment or compensation.
  • Collaborate with internal health plan Sales, Service and Support representatives in handling and resolving agent issues related on appointments and compensation matters
  • Work with internal Finance staff to coordinate accurate and timely payments of agent commissions and bonuses.
  • Provide reports to management as needed.
  • Review and implement requests for agent/agency changes, including agent of record changes and payee changes, in accordance with the health plan's procedures.
  • Review and audit agent, agency and general agency data and group-related CRM data as needed to ensure proper agency and group assignment.
  • Provide back-up to the Sales Coordinators in their Sales Support duties as assigned by Supervisor.
