About The Position

Responsible for the daily administrative functions of the Oral and Maxillofacial Surgery department including faculty onboarding, financial processes, and operational reporting. Assists in all operational, administrative, and fiscal activities including account reconciliation, budget planning, expenditure approval, procurement, financial reporting, general appropriations, departmental requests, and operational analytics.

Requirements

  • Demonstrated ability to show initiative and improve processes.
  • Knowledge of administrative compliance, financial reporting, and applicable business practices and procedures is required.
  • Knowledge of and ability to influence budgeting, controlling costs, planning, scheduling, and procedural change.
  • Ability to multitask and work cooperatively with others; attention to detail.
  • Ability to handle highly confidential information with professionalism and integrity.
  • Proficient with Microsoft Office (Word, Excel, Outlook, etc.), databases and Adobe.
  • Excellent verbal and written communication skills.
  • Bachelor's Degree degree in Business Administration, Healthcare Administration, Finance, or other directly related field is required.

Responsibilities

  • Supports faculty and departmental onboarding, operations, and requests.
  • Prepares monthly operational and financial statements, reports and records by collecting, analyzing and summarizing information.
  • Makes recommendations and initiates process improvement based on analysis.
  • Oversees monthly account balancing, reconciliations and records management for department specific accounts.
  • Researches and analyzes revenues and expenses to ensure appropriate recording; analyzes all prepaid expenses and encumbrances and prepares regular reports.
  • Tracks and updates faculty clinical, administrative, education, grant-committed time, and salary/incentive information.
  • Assists with effort reporting, FTE, and timecard accountability.
  • Assists with preparation and development of the annual budget.
  • Hires, supervises, mentors, evaluates and assigns work to junior staff.
  • Performs all other duties as assigned.
