About The Position

The Business Administrator plays a critical role in supporting the daily operations of Wire 3 by facilitating efficient administrative processes and providing high-level support to employees and leadership. This in-office position is responsible for managing office operations, coordinating administrative and operational functions, supporting light human resources activities, and proactively addressing executive and organizational needs in a fast-paced, growth-driven environment. The ideal candidate is a highly organized, tech-savvy professional who exercises discretion, anticipates needs, and takes pride in keeping the organization running smoothly.

  • Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred; equivalent experience considered
  • 3+ years of experience in administrative, office management, or business operations roles required
  • Exposure to basic HR functions including onboarding, recordkeeping, or benefits coordination preferred
  • Experience using ADP or a similar HR/payroll system required
  • Must currently hold, or immediately upon hire apply to obtain, a commissioned Florida Notary Public designation with Remote Online Notarization (RON) authorization
  • This is a primarily in-office position requiring a high level of responsiveness and availability during standard business hours
  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to occasionally lift and carry up to 25 lbs. for mail, supply deliveries, and office needs
  • Ability to move throughout the office to support daily operational tasks

Responsibilities

  • Provide comprehensive administrative support including calendar management, meeting coordination, travel planning, expense reporting, and preparation of presentations, reports, and correspondence
  • Act as a liaison to ensure timely communication and follow-up on key initiatives, both internally and externally
  • Manage and prioritize requests, ensuring deadlines and business objectives are met
  • Oversee daily office operations, including maintaining office organization, coordinating facility needs, and ensuring a productive and professional work environment
  • Manage office vendors, service providers, and supply inventory; negotiate pricing and ensure cost-effective purchasing practices
  • Assist with budgeting processes, track departmental expenses, and support financial reporting and invoice processing
  • Coordinate company meetings, events, and team activities, including logistics, materials, and communication
  • Support light HR functions including onboarding coordination, new hire paperwork, employee record maintenance, and benefits administration support
  • Facilitate onboarding and offboarding processes, ensuring all documentation, system access, and compliance requirements are completed accurately and on time
  • Utilize ADP or similar HRIS/payroll systems to maintain employee data, assist with reporting, and support payroll-related administrative tasks
  • Perform Remote Online Notarization (RON) in accordance with Florida law for employment and business documentation, ensuring accuracy and compliance
  • Maintain strict confidentiality of sensitive employee, financial, and business information
  • Assist in developing, documenting, and improving administrative processes and standard operating procedures
  • Support cross-functional teams with administrative coordination, reporting, and project execution as needed
  • Monitor compliance with company policies, assist with internal audits, and ensure proper documentation and recordkeeping
  • Identify opportunities for operational efficiencies and proactively implement improvements
  • Provide general operational support to leadership and executives, anticipating needs and resolving issues before escalation
  • Assist employees in and out of the office with mail, deliveries, scanning, copying, notarization, and similar duties
  • Perform other duties and responsibilities as assigned
