About The Position

Under general supervision, perform property management and administrative functions to manage day-to-day functions of the Brown University Health administrative office building. Duties include managing vendors, mail and administrative support functions, meeting administration and logistics and property management. Coordinate the various vendors that provide services to the building. This includes property management, janitorial, landscaping and site services, parking and visitor management (in conjunction with security), food service vendor and mail room personnel. Interacts with all levels of personnel. Interfaces with and supports corporate executive administrative staff. Coordinate leadership meetings to ensure the proper rooms are scheduled and set up with appropriate technology, along with catering are coordination. Work with building security personnel to ensure scheduled visitors are welcomed and supported during their stay in the building. May perform duties related to supervisor's holding office in state/national/international organizations such as coordinating conferences or special events. Duties will include securing facility, contacting and coordinating speakers, confirming arrangements and preparing all necessary materials. May attend events for the purpose of registering guests, assisting with recordkeeping duties and event details. Monitor budget, review purchase requisitions and maintain accurate financial records on departmental expenses. Maintain records and statistics for department as required by corporation, government and accrediting agencies. Performs other duties as assigned.

Requirements

  • Bachelors degree or equivalent professional experience required.
  • Three to five years progressively more responsible experience within an office setting.
  • Knowledge of PC word processing and spreadsheet software applications required.
  • Understanding basic building mechanical systems is helpful.
