About You: As a Brokerage and Marketing Coordinator ( internally Senior Client Services Coordinator ), you're delivering exceptional marketing and administrative support to an assigned broker team. Requirements

  • 2-3 years of administrative and/or marketing support within the commercial real estate industry
  • Proficiency in Adobe InDesign
  • Proficient in intermediate functions including Microsoft Outlook, Word, Excel, PowerPoint
  • Proactive mindset with the ability to work independently
  • Excellent communications skills, both oral and written
  • Excellent organizational and prioritization skills

Responsibilities

  • Provide comprehensive administrative and marketing support to a high-producing Industrial Services team.
  • Create property surveys using proprietary platforms.
  • Enter closed deals for invoicing, send invoices, track commission payments, track client rebates.
  • Coordinate conference registrations, travel, and transportation.
  • Submit and track team expense reports.
  • Plan team and client events and meetings.
  • Coordinate client gifts.
  • Submit third-party invoices for payment.
  • Oversee and coordinate team marketing and client deliverable design.
  • Create BOVs, pitches, surveys, tour books, listing flyers, property signage, and other design tasks, mostly in Adobe InDesign and occasionally in PowerPoint.
  • Conduct market research from online platforms and company reports
  • Create eblasts and social media posts.
  • Handle transaction documents and oversee file management.
  • Prioritize workload appropriately to meet competing deadlines and multiple stakeholders.
  • Perform reviews of externally focused deliverables for the team ensuring best in class work.
  • Other administrative tasks as requested.
