About The Position

As the Brand + Marketing Sr Project Specialist, you will serve as the operational backbone of HFA’s Brand + Marketing team, driving project management, process optimization, and overall team efficiency. This role focuses on organizing, coordinating, and managing the tactical execution of marketing initiatives while ensuring alignment with strategic objectives. You will utilize agile project management methodologies to coordinate efforts, track progress, and manage timelines across multiple marketing functions. Acting as a key operational leader, you will oversee workflows, optimize team processes, and manage cross-functional collaboration to deliver projects on time and within scope. Requirements

  • 5+ years of experience in project management, marketing operations, or a related field.
  • Strong organizational and project management skills with experience in agile methodologies.
  • Ability to prioritize competing tasks and manage multiple projects simultaneously.
  • Strong problem-solving and analytical skills to identify areas for operational improvement.
  • Exceptional communication and stakeholder management skills.
  • Proficiency in project management and collaboration tools (Asana, Trello, or similar).

Nice To Haves

  • Experience in marketing strategy or campaign management is a plus.

Responsibilities

  • Project Management & Operational Excellence
  • Lead the planning, coordination, and management of marketing programs, campaigns, and initiatives.
  • Organize and prioritize tasks using an agile project management approach, ensuring on-time and high-quality execution.
  • Track and manage project timelines, deliverables, budgets, and team resources to optimize project efficiency.
  • Develop and maintain project roadmaps, sprints, and workflows to support team goals and improve operational processes.
  • Ensure clear communication of project expectations, deliverables, and progress to all stakeholders.
  • Process Optimization & Team Efficiency
  • Analyze current workflows and processes, identifying areas for improvement and implementing enhancements to boost team efficiency.
  • Collaborate with the Director of Brand + Marketing to establish and document standardized procedures and best practices.
  • Manage and optimize the use of tools and marketing technologies to streamline project execution.
  • Track and report key performance metrics to measure team effectiveness and inform process improvements.
  • Cross-Functional Collaboration & Communication
  • Act as the liaison between internal stakeholders, marketing leadership, and cross-departmental teams to coordinate efforts and manage dependencies.
  • Lead regular sprint planning meetings and facilitate effective project updates to keep team members aligned.
  • Manage communication channels to provide clear, consistent updates on project progress and changes.
  • Ensure alignment between project execution and overall marketing goals.
  • Manage and prioritize the team’s backlog of marketing projects and campaigns.
  • Lead daily and weekly stand-ups to track team progress and identify blockers.
  • Monitor project milestones, budgets, and resources to ensure successful project completion.
  • Develop and deliver performance reports to track the effectiveness and efficiency of marketing programs.
  • Ensure team members are equipped with the tools and processes needed to succeed.
  • Coordinate project retrospectives to review outcomes and implement process improvements.
