Position Summary The Experience Coordinator is the operational engine of the Brand & Experience Office. This person keeps cross-functional projects moving, documents decisions, drives follow-ups, and ensures that brand, culture, EX (Employee Experience), and CX (Client Experience) initiatives are executed with clarity and consistency. This is a high-visibility, high-influence role working across Marketing, HR, ClinOps, Operations, Creative, Product, and Communications. Success in this role requires exceptional communication skills, organization, judgment, and the ability to move work forward through influence — not authority. Key Responsibilities 1. Project Coordination & Execution Attend key meetings with the Chief Brand & Experience Officer; take structured notes, capture decisions, and track follow-ups. Build and maintain project trackers, timelines, and documentation across all brand, EX, and CX initiatives. Keep cross-functional partners aligned and accountable to deadlines. Anticipate bottlenecks and proactively solve or escalate. 2. Brand & Experience Operations Support the rollout of brand frameworks, culture initiatives, and Experience programs. Help manage large workstreams such as client journey design, clinician matching improvements, and culture programs. Assist with process flow mapping, journey documentation, and internal storytelling materials. 3. Communication & Influence Draft clear summaries, recaps, briefs, and internal updates. Build strong relationships across departments; act as an extension of the Experience Office in day-to-day communication. Help ensure work is aligned with the Thriveworks brand voice and “Deeply Human” philosophy. 4. Research & Insights Gather qualitative and quantitative insights from stakeholders, clients, clinicians, and internal data sources. Help synthesize feedback into structured recommendations for leadership. Support employee culture, brand perception, and experience audits. Qualifications Required Strong communicator — clear writer, active listener, good at distilling complexity. Highly organized with a calm, steady presence; thrives in a fast-moving environment. Comfortable navigating influence-based leadership; able to get things done without formal authority. Experience in communications, project coordination, brand, marketing, operations, or related fields. Emotionally intelligent and culturally aware — understands how people work, how departments collaborate, and how to move work forward “the right way.” Preferred Experience in healthcare, mental health, or mission-driven organizations. Experience with process flow design, journey mapping, or service design. Familiarity with Smartsheet, Asana, Miro, or similar tools.
