About The Position

Breitenbush Hot Springs is seeking a full-time, Year-Round Bookkeeper to join our team. The Bookkeeper is a detail-oriented member of the Admin Team in the Breitenbush Finance Department. This role is responsible for processing payroll, managing accounts payable, reconciling credit cards, and maintaining accurate financial records for the co-op. The Bookkeeper also serves as a primary point of contact for team coordinators and staff on financial matters, payroll questions, and related policy inquiries, and works closely with the team coordinators, Personnel Coordinator, Business Director, and Finance Director. Additional duties may include special research projects, year-end tax preparation, and annual budget support. The Bookkeeper reports to the Finance Director.

Requirements

  • Proficient in Excel/Google Sheets, payroll and accounts payable softwares

  • Must be able to remain in a stationary position more than 50% of the time.

  • Occasionally moves mail and packages weighing up to 50 pounds.
  • Valid Oregon driver’s license
  • High school diploma or equivalent

Nice To Haves

  • Familiarity with general accounting principles
  • Experience with Google Workspace, Paycom, Square, Clickup, Retreat Guru
  • Experience with managing credit cards, bank accounts, ledgers etc.
  • Ability to create and improve upon systems to create efficiencies in bookkeeping and other administrative processes
  • Experience in cooperative businesses
  • Experience with living in community

Responsibilities

  • Process payroll for 50 – 80 employees every two weeks, including sending any necessary garnishments, health insurance and retirement contributions in a timely manner
  • Process and pay accounts payable invoices
  • Manage company credit cards, including payment, reconciliation, and distribution to team coordinators
  • Prepare journal entries
  • Calculate and pay store/gift shop consignments at end of each month
  • Reconcile financial closeouts for workshops, and issue payment to presenters
  • Manage mail for the business and community, including dropping off and picking up mail from the post office
  • Prepare bank deposits and manage gift shop cash register change
  • Create membership loan accounts for staff
  • Calculate/pay parting gifts to members
  • Renew vehicle registrations online/get stickers to maintenance
  • Prepare and maintain lists of personal property required for county tax reporting
  • Be familiar with the budget for the year and question un-budgeted purchases
  • Be familiar with 1099 processing requirements, ensure A/P vendors are correctly reported
  • Interact with team coordinators to ensure systems are working smoothly and communications are sufficient and clear
  • Work closely with Personnel Coordinator, Business Director and Finance Director
  • Other tasks as needed, assist the Finance Director, including preparing year-end taxes and annual budgets
  • Participate in team, department and co-op coordination meetings
  • Meet weekly minimum hours requirements as described in Breitenbush’s Work Life Agreements. This is currently 35 hours for full time employees, although scheduled hours may be based on the needs of the co-op.
