The Admin / Bookkeeper is responsible for providing accounting and clerical support. Maintains accounting document files, including daily work and accounts receivable and payable. Keys daily worksheets to the general ledger system. Assists accounting personnel as requested. Works under general supervision.

Requirements

  • Minimum 1 - 3 years of experience in a similar and progressive position preferred.
  • Minimum High School Diploma or equivalent work experience
  • Microsoft products
  • Strong problem-solving skills
  • Ability to communicate effectively with internal departments and vendors
  • Ability to prioritize and manage multiple deadlines
  • Ability to read and interpret documents such as procedure manuals, routine reports and correspondence.
  • Ensure compliance with company internal controls and accounting policies

Responsibilities

  • Ensure all customer invoices are approved and/or generated & distributed in a timely manner
  • Posts customer invoices with the correct quantities and prices to customer account
  • Review accounts receivable (AR) aging and statements following up on outstanding balances
  • Ensure accounts payable invoices are generated and recorded in a timely manner
  • Ensure proper payment of accounts payable (AP) via check, ACH or wire transfer
  • Reconcile vendor statements and resolve discrepancies
  • Preparation of monthly and annual reports
  • Sales tax processing, reporting and maintenance of exemption certificates
  • Issues and records all transactions in the ERP system
  • Familiar with the Chart of Accounts
  • Completes special projects as assigned by Supervisor
  • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work-related tasks in a manner that follows all Company policies and procedures.
  • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments. The Company retains the right to change or assign other duties to this position.
