Provides support to the finance department by performing various clerical and administrative tasks. This role involves assisting with bookkeeping, data entry, financial record maintenance, and general accounting duties. The Accounting Assistant plays a crucial role in ensuring accurate and timely financial information for the organization.

Responsibilities

  • Supports company operations by supporting the Financial Controller with bookkeeping.
  • Performs all data entry relating to entering all accounts payable into QuickBooks.
  • Assist in the management of accounts payable processes, including vendor invoice verification, coding, and scanning into digital file folder.
  • Research spreadsheet inaccuracies as guided by Financial Controller.
  • Input customer refunds into QuickBooks bi-monthly.
  • Maintains an organized filing system including daily physical filing and scanning of documents into an online server.
  • Reconcile credit card transactions to ensure accuracy and resolve discrepancies.
  • Enters credit receipts produced by staff card holders and matches them up to the credit card statement(s). This procedure will require the Accounting Assistant to reach out to field staff to obtain missing receipts in a timely manner, as well as verifying sales as paid on invoices.
  • Assist in resolving any billing or payment discrepancies with vendors.
  • Assists the Financial Controller.
  • This is a hands-on role and requires the ability to enjoy repetition, consistency, and spreadsheet creation.
  • This role supports multiple locations but will be housed in the Milton Office. Phone and/or Zoom communication with offsite staff will be required.
