About The Position

Under the direction of the Vice President, Entertainment & Event Center Operations, the Booking Coordinator is responsible for supporting the overall booking and entertainment operations to ensure efficient and seamless execution of events. Serves as a key liaison between internal teams and external partners while contributing to strategic initiatives that enhance programming and departmental effectiveness. This role plays a critical role in ensuring smooth coordination, operational accuracy, and alignment with organizational goals in a dynamic, fast-paced environment.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field required.
  • Minimum two (2) years in an administrative support role in entertainment talent buying, event coordination or related, required.
  • Knowledge of Prism, ROME, or similar systems for managing event builds and artist data.
  • Ability to prioritize tasks, manage multiple projects, and maintain accuracy in a high-volume environment.
  • Strong written and verbal communication to collaborate effectively with internal teams and external partners.
  • Skilled in Microsoft Office Suite and standard project management tools for reporting, scheduling, and documentation.
  • Demonstrated discretion in handling sensitive and confidential information.
  • Ability to thrive in fast-paced, deadline-driven environments while maintaining attention to detail and professionalism.
  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
  • Authorized Driver: Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver’s license with an acceptable driving record as determined by the insurance carrier is required.

Nice To Haves

  • Experience as an Agent Assistant or working with National Touring artists is preferred.

Responsibilities

  • Manages the full cycle of show documentation, ensuring all contracts, riders, W9s, COIs, calendars, booking memos, license agreements, and insurance certificates are organized, accurate and proactively updated. Manages Prism data and prepares all event documents well in advance, exercising sound judgment in prioritizing deadlines and resolving discrepancies.
  • Serves as the point of contact for promoters, agents, venues, and internal teams. Coordinates cross-departmental communications and aligns requests for show logistics, marketing, ticketing, legal, and VIP services. Manages follow-ups to ensure seamless execution.
  • Independently supports the entire event cycle from booking through post-event, including advancing shows, collaborating on promotional assets, managing artist approval workflows and addressing day-to-day needs. Provides on-site event support with autonomy to problem-solving and make real-time decisions that keep operations moving smoothly.
  • Develops, interprets and analyzes historical show data to create meaningful reports for stakeholders. Prepares supporting financial materials such as pro-formas, Profit & Loss documents. Maintains offer templates and update venue/artist details in Prism to support programming strategies.
  • Manages administrative and operational tasks, including expense reports, travel itineraries, calendars management, phones, and scheduling, with self-direction Prepares presentations and correspondence, and contributes insights in booking meetings. Initiates process improvements, and supports supervisors with special projects.
  • Prepares industry research reports, maintain historical data, and manage confidential information with discretion in a fast-paced, deadline-driven environment.
  • Performs other duties as assigned to support the efficient operation of the department.
