About The Position

Under the general direction of the Manager, Government Relations, the Board Secretary provides professional assistance to the DFW International Airport Board of Directors and acts as a liaison concerning Board activities providing administrative support for the Board Exercises initiative, independent judgement and discretion in interacting with Board members and staff and answering and disposing of written and oral requests. Builds and maintains positive working relationships with Board members, management, and colleagues and demonstrates a high level of attention to detail and organizational skills. This role functions with minimum supervision.

Requirements

  • Completion of high school curriculum or equivalent.
  • Three (3) plus years of progressively responsible experience providing administrative support to various senior or executive level staff.
  • Possession of a valid Class C driver’s license.
  • Strong organizational and time management skills with attention to details.
  • Superior proofreading and editing skills.
  • Knowledge of the principles and practices of public administration.
  • Knowledge of the protocol and communication techniques employed in an executive office.
  • Highly organized and ability to manage multiple tasks under tight deadlines.
  • Skill in typing at a speed of 60 words per minute.
  • Written and verbal communication skills including, composing correspondence and reports using proper grammar, construction and business vocabulary.
  • Skilled in the use of Microsoft Office software such as Word, Excel, PowerPoint and Outlook.
  • Ability to receive and process information of a sensitive nature with discretion, tact, diplomacy.
  • Ability to establish and maintain effective working relationships with Airport Board staff at all levels, Board members, city and administrative officials and the public.
  • Demonstrates a high level of organizational skills and accuracy.
  • Demonstrates professionalism and discretion in all interactions, fostering a respectful and collaborative work environment.

Responsibilities

  • Coordinates and facilitates activities of the DFW International Airport’s Board of Directors and the Public Facility Improvement Corporation (PFIC), including: schedules and prepares agendas, records minutes, prepares and submits legal notifications to Owner Cities.
  • Tracks and monitors all agenda-related items of the Official Board Actions/Resolution process to ensure established deadlines are met.
  • Serves as a liaison with departments regarding Board-related issues.
  • Facilitates DFW’s board document retention and records management program in conformance with state law.
  • Manages Board-related portal software and acts a liaison to the vendor to ensure up-to-date information and changes are distributed and shared between users of the software.
  • Serves as a point of contact between Board members, Board staff and the general public, including researching and responding to information requests.
  • Acts as an Administrate Assistant to Board members, performing administrative tasks related to the Board, including making domestic and international travel arrangements and completing associated expense reports for Board members.
  • Researches and prepares reports and correspondence for Board and Executive staff, as requested.
  • Serves as the registration agent for citizens wishing to address the Board at its meetings.
  • Attests legal, contractual and other Board instruments including maintaining custody of the Airport Seal. Maintains historical data of items related to the Board of Directors, including Board and Committee memberships.
  • Provides training to other employees who may support Board Staff Secretary duties; creates and maintains a checklist of specific tasks; schedules refresher training sessions on a periodic basis.
  • Serves as the Badge Signatory for Board members, ensuring completion of training requirements for new and renewing airport SIDA badges.
