This role is essential to ensuring the accuracy, efficiency, and integrity of our financial and patient record systems — supporting both our clinical operations and overall patient experience. The Bills and Records Specialist is responsible for supporting the full billing cycle, maintaining organized and compliant patient records, and ensuring all documentation supports timely and accurate revenue processing. This role requires exceptional attention to detail, strong organizational skills, and the ability to work collaboratively across departments to uphold Epic’s operational and compliance standards.

Requirements

  • Bilingual (English/Spanish highly preferred)
  • Education: High school diploma or equivalent required
  • Experience: Minimum of 1–2 years of experience in medical billing, coding, or health records management preferred.
  • Certifications: Medical billing or coding certification (CPC, CCS, or similar) preferred.
  • Proficiency in EHR systems (experience with Athena strongly preferred).
  • Strong computer literacy, including Microsoft Office Suite (Excel, Word, Outlook).
  • Exceptional attention to detail and organizational skills.
  • Ability to handle sensitive information confidentially and in accordance with HIPAA standards.
  • Problem-solving mindset with the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Post, reconcile, and verify payments from patients and payers, ensuring accuracy in account balances.
  • Research and resolve denied or rejected claims, identifying patterns and communicating findings to management.
  • Maintain accurate, up-to-date patient billing and medical record files in compliance with HIPAA and company policies.
  • Support records requests, data audits, and documentation retrieval for both clinical and administrative needs.
  • Respond promptly and professionally to patient inquiries related to billing, payments, and account status.
  • Collaborate with clinical and administrative staff to ensure all billing documentation and patient data are properly captured and coded.
  • Contribute to process improvements in billing and records management to enhance accuracy and efficiency.
