About The Position

Larkin Hoffman is seeking a full-time (37.5 hours per week) Billing Specialist to join our accounting department. This position will provide billing support and client services in partnership with billing attorneys and paralegals ensuring that adherence to and coordination of firm and commonly accepted best practices occur. Certain job duties include providing oversite to all billing matters including processing client billings, generating proformas, drafting bills upon request, and supporting our Legal Administrative Assistants and billing attorney questions, requests, and projects. Requirements

  • Basic knowledge and understanding of legal billing and procedures preferred.
  • Analytical - Solid understanding of accounting principles and procedures.
  • Must be technologically adept and able to use many different online applications common to a law practice.
  • Strong communication and writing skills.
  • Ability to communicate with professionals at all levels in the Firm.
  • Strong organizational skills and exceptional attention to detail required.
  • Four years of accounting and/or billing experience or equivalent combination of education and related experience
  • Experience working with accounting software and Microsoft Suite (Excel, Word, and Outlook) are required.

Nice To Haves

  • Preference will be given to candidates with prior billing / accounting experience in a law firm or legal setting and experience with Elite 3E (Law Firm Accounting Software).

Responsibilities

  • Process client billings for designated firm attorneys and quarterly administrative bills.
  • Ensure compliance with client billing guidelines and e-billing requirements.
  • Generate proformas and draft bills upon request.
  • Process proforma edits and generate final centralized bills.
  • Manage manual bill process to include downloading bills to NetDocs for Legal Administrative Assistants and finalizing all manual bills in the systems.
  • Ensure proper approval of all write-offs of unbilled time and disbursements.
  • Follow up on unreturned bills and ensure proper deferral approval.
  • Provide support to accounting team as workload allows and provide backup of other positions or tasks in the accounting departments.
  • Other duties may be assigned including, but not limited to, CLE and pro bono hours tracking.
  • Support and respond to Legal Administrative Assistant and billing attorney questions, requests, and projects.
