About The Position

The Billing Assistant provides circulation services to students, faculty and other Library users. PT Access Services Billing Assistant manages all library circulation billing responsibilities including communications, the collection of all library circulation billing revenue, and library circulation billing records management. PT Access Services Billing Assistant works with the Head of Access Services and Circ Team to revise policy, procedures, and workflows related to fine and fee management. In consultation with the Head of Access Services and Access Services Desk Supervisor, PT Access Services Billing Assistant prepares and forwards a quarterly list of patrons with outstanding delinquencies for review for library account suspension and student account/registration/graduation holds. The Billing Assistant will work in a highly-supportive and collegial culture that encourages active participation in meaningful and valuable skills training and professional development. Requirements

  • Associate degree required. Bachelor’s degree or Library Technical Assistant certification preferred.
  • Experience providing customer service in a fast-paced environment required. Previous library experience preferred.
  • Experience managing financial accounts preferred.
  • One year of experience supervising staff or supervising an area of operations is preferred.
  • Proficiency in basic computer skills (email, Microsoft Office Suite, Google Docs) required. Experience with Alma or other integrated library systems preferred.

Responsibilities

  • Facilitate access to library materials
  • Provides circulation desk services (directional assistance, general library material borrowing, print course reserves access, facilitate I-share and interlibrary loan request pick-up from the hold shelf, equipment and loanable technology lending, copy / print / scan station assistance, and general study room reservation assistance) to students, faculty and other library users.
  • Library Circulation Billing
  • Manage library circulation billing (i.e. fines, fees, lost or damage material charges) for library materials (excluding loanable technology and equipment) including communicating policies and procedures, answering patron inquiries about library circulation billing charges assessed to their account, investigating claims regarding unreturned, missing, library materials, assessing material damage for returned items, sending overdue notices, fine notices, and bills for lost and damaged library materials, recording, collecting, and forwarding circulation billing payments received to the Library Administration Office and/or forwarding information to Technical Services and Collection Development regarding items to be withdrawn from the collection due to condition or lost status.
  • Billing Records Management
  • Responsible for library circulation billing records management including maintaining records and statistics; generating ILS system reports on long overdue and/or lost items and any related fines and fees, and updating status of overdue, claims returned and lost books in ILS to be reflected in online library catalog. In consultation with the Head of Access Services and Circ Team revises policy, procedures, and workflows related to fine and fee management. In consultation with the Head of Access Service, prepare and forward a quarterly list of patrons with outstanding delinquencies for review for library account suspension and student account/registration/graduation holds.
  • Supervise and mentor student workers
  • As a part of the night and weekend staff rotation, supervise evening and weekend Access Services operations and student staff. This includes assigning delegated Access Services functional area tasks for completion and arranging adequate front desk support.
  • Directly supervise student assistants during scheduled times at the Access Services Desk. Assign tasks to student employees daily. Be familiar with applicable policies and procedures for student employees at DePaul.
  • Manage library circulation billing (i.e. fines, fees, lost or damage material charges) for library materials (excluding loanable technology and equipment), comprising approximately $5,000 annually.
