About The Position

We are seeking a dedicated Billing Administrator to manage the day-to-day operations and general administrative activities of our branch division independently. The role involves working closely with the Branch and Account Managers, performing general administrative duties, and ensuring smooth seasonal transitions. You will be responsible for delivering quality customer service, managing client communications, and maintaining essential office functions.

Requirements

  • 3 years of experience in billing, accounting, administrative, or office management roles.
  • Experience with billing, invoicing, proposals, or contract review.
  • 3 years of experience using Microsoft Office tools.

Responsibilities

  • Manage the branch division’s daily operations and general administrative activities independently.
  • Collaborate with Branch and Account Managers on various office tasks and projects.
  • Perform general administrative duties and assist with seasonal transitions.
  • Provide quality customer service to existing and prospective clients.
  • Resolve client issues in accordance with company guidelines.
  • Communicate and monitor branch deadlines.
  • Order and maintain office equipment and supplies.
  • Prepare and maintain enhancement proposals, work orders, and invoices.
  • Assist in the contract renewal process.
  • Maintain the client database.
  • Prepare, maintain, and distribute various weekly, monthly, and seasonal reports to staff and customers.
  • Prepare and maintain job cost, productivity, and gross margin reports.
  • Assist with payroll, time and attendance processes, and reports.
  • Participate in the company’s lean management principles and strategies.
  • Perform other duties and responsibilities as requested or required.
