About The Position

The Clinical Receptionist helps support clinic services. You will be the first friendly voice and face that patients see or hear. You help set the tone for their visit. In this important role, you will greet patients warmly, help them check in, schedule appointments, and make sure they feel welcome and cared for. You are a link between the clinic staff and the patients. You help patients feel heard, supported, and confident about their care. You will also do office tasks like making documents, organizing files, and scheduling appointments. This job reports to the Revenue Cycle Supervisor Front End whom reports to Revenue Cycle Director. Sometimes, you may need to work limited evening hours to help cover other clinic programs and check-in desks. This position is fully onsite; no remote working permitted. Shift from 8-5 with one hour lunch. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. Requirements

  • Bilingual Spanish/English
  • Demonstrate superior communication skills including the ability to take accurate messages, communicate calmly, effectively, and courteously with a variety of customers, both orally and in writing.
  • Demonstrate characteristics of flexibility, problem solving, multitasking and high attention to detail.
  • Ability to work independently as well as part of a larger team.
  • Knowledge and understanding of how to work with confidential information.
  • Strong commitment to, and comfort working with, individuals recovering from mental health/AODA issues.
  • Ability to maintain good attendance and punctuality
  • Possession of a valid driver’s license, a favorable driving record, adequate insurance (per state law), and access to a vehicle.

Nice To Haves

  • Experience in providing administrative support or customer service in a clinic setting.
  • Demonstrate strong computer skills including the ability to develop and monitor databases, use e-mail, internet, Word, Excel and other computer apps and programs.
  • Knowledge of/or experience using an Electronic Health Record (EHR)

Responsibilities

  • Greet every patient and visitor in a warm and professional way.
  • Answer phone calls and give helpful information in a respectful and understanding way.
  • Listen carefully to patient needs in person or on the phone and explain what to do next.
  • Schedule and confirm appointments correctly and kindly.
  • Help patients check in and check out in a calm and friendly way, even when it is busy.
  • Help patients fill out forms and answer questions about insurance or bills in simple, clear language.
  • Communicate clearly with clinic staff to make sure patients are helped on time.
  • Keep patient information private by following HIPAA rules.
  • Think ahead about what patients might need, like directions or extra help.
  • Keep the front desk and waiting area clean and welcoming.
  • Enter new patient information into the system and explain available services.
  • Schedule appointments and help organize clinicians’ schedules.
  • Help keep the waiting area calm and safe, and ask for help if needed.
  • Make copies, organize supplies, and help with office tasks.
  • Help cover different front desk areas when needed.
  • Work with nursing and prescribing staff to support clinic programs.
  • Check insurance information and collect insurance cards at visits.
  • Help patients who do not have active insurance.
  • Be trained to help with both front desk and back office tasks.
  • Attend team and group meetings as asked.
  • Support to clinical staff are directed by Supervisor.
  • Check patients in by reviewing and updating their information in the electronic system.
  • Balance the cash drawer and help with basic money tasks including collecting balances, copays, etc at time of service or check out.
  • Help patients at check-out.
  • Reminder calls for patient appointments.
  • Help in the back office if the supervisor asks.
  • Answer main phone lines and give respectful and helpful customer service.
  • Help schedule appointments and assist with urgent prescribing needs.
  • Make copies, stock supplies, scan documents, handle referrals, take payments, and complete other office tasks.
  • Backup to billing support in CCS and other programs when needed.
  • Complete call logs/inquiries and track information to help improve services.
  • UWCC Program specific tasks & Just in Time Prescribing tasks.
  • Switchboard duties.
  • Other duties as assigned
