Position Summary The Bid Coordinator provides administrative and technical support to the estimating department to ensure efficient and accurate preparation of bids, proposals, and project documentation. This role requires strong organizational skills, proficiency with Microsoft Office programs, and the ability to communicate effectively with internal staff, vendors, and clients.

Requirements

  • Proficient in Microsoft Excel, Word, and Outlook; general computer literacy required.
  • Strong interpersonal and communication skills, both written and verbal.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Dependable and self-motivated, with a willingness to learn estimating and construction processes.
  • Professional demeanor and ability to work collaboratively with team members and external partners.

Responsibilities

  • Assist estimators with data entry, document preparation, and organization of bid packages.
  • Create and maintain spreadsheets in Microsoft Excel for tracking bids, budgets, and vendor information.
  • Prepare and distribute Requests for Information (RFIs) and follow up on responses.
  • Download and organize project plans, specifications, and addenda from various online plan rooms.
  • Assist in maintaining estimating files, digital records, and document management systems.
  • Draft and proofread correspondence, proposals, and project-related documents using Microsoft Word.
  • Communicate with subcontractors and vendors to solicit pricing and ensure bid completeness.
  • Support the estimating team with administrative tasks such as filing, scheduling meetings, and managing emails.
  • Help compile bid submissions and verify that all required documentation is included and accurate.
  • Perform general office duties including data entry, scanning, photocopying, and document uploads.
