Position Overview: The Behavioral Health Outpatient Office Manager will play a key role in ensuring efficient front and back-office operations, patient satisfaction, and provider support. This individual must be detail-oriented, compassionate, and capable of managing multiple administrative responsibilities in a fast-paced mental health environment.

Requirements

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • Licensed Vocational Nurse (LVN) REQUIRED
  • Previous experience in a medical or psychiatric office setting required
  • Proficient in electronic health records (EHR) and basic office software including but not limited to Google Workspace, Zoom, and Microsoft Teams
  • Excellent communication, interpersonal, and organizational skills
  • Strong understanding of HIPAA and patient confidentiality
  • Ability to work independently and manage multiple priorities
  • Experience with medication management workflows and insurance authorizations

Responsibilities

  • Coordinate and manage client scheduling, appointment reminders, and follow-up communications
  • Greet clients in a professional, compassionate manner and support them through their care experience
  • Maintain accurate client records and ensure proper documentation is completed in a timely manner
  • Handle pharmacy and medication-related requests, including processing refill requests and prior authorizations
  • Manage insurance verifications and support billing team as needed
  • Be comfortable and professional when having financial conversations with clients regarding balances, payment plans, and insurance
  • Support providers and clinical staff with administrative tasks and communications
