About The Position

The Back Office Supervisor, Primary Care is responsible for assisting the Practice Operations Supervisor, Practice Manager and/or Director of Primary Care Operations in overseeing all aspects of daily clinical operations within the pediatric primary care practice. This position provides supervision, coordination, and training to clinical support staff, ensuring consistent delivery of safe, high-quality, and family-centered care. The Back Office Supervisor, Primary Care serves as the primary trainer and competency validator for all clinical staff, manages quality assurance and compliance monitoring, acts as the triage clinical liaison and clinical escalation point, and supports the clinic team through hands-on clinical care, including POC testing and floor coverage when needed.

Requirements

  • At least three years of LPN experience in a pediatric primary care office
  • High school diploma or equivalent
  • Completion of an accredited Licensed Practical Nurse (LPN) school/program
  • Licensed Practical Nurse (LPN)
  • Basic Life Support (BLS) from the American Heart Association (AHA) within 30 days of employment
  • Excellent communication and interpersonal skills, especially with children and families
  • Strong organizational and multitasking abilities
  • Proficient with electronic medical records (EMR) and basic computer applications
  • Calm and compassionate demeanor under pressure
  • Ability to multitask in a fast-paced environment
  • Knowledge of medical terminology and immunization
  • Knowledge of medical safety practices and standards

Responsibilities

  • Supervise and support daily clinical operations.
  • Serve as the primary clinical trainer and competency validator for medical assistants and LPNs, including onboarding, orientation, skills assessments, and continuing education.
  • Assist with the development and implementation of training materials and competency checklists.
  • Conduct periodic observations, skills validations, and refresher training to ensure adherence to protocols and standards.
  • Reinforce compliance with infection prevention, safety procedures, and quality standards through continuous coaching.
  • Adhere to all safety and infection prevention protocols. Reports any hazards, injuries, or incidents promptly to leadership.
  • Ensure compliance with all CHOA policies, HIPAA, OSHA, and pediatric practice standards. Participates in audits and maintains regulatory readiness.
  • Own and manage all clinical quality logs and documentation including: vaccine temperature and cold chain monitoring logs, emergency kit inspections and readiness, medication and supply expiration tracking, point-of-care (POC) testing calibration and quality control, infection prevention and environmental rounding logs.
  • Serve as the Vaccines for Children (VFC) Coordinator, ensuring compliance with CDC and GRITS requirements.
  • Audit quality and safety processes regularly and develop action plans for improvement.
  • Maintain all documentation for inspections, audits, and readiness reviews.
  • Function as the triage nurse and clinical escalation point for clinical staff and patient care issues.
  • Conduct patient triage (in-person or via phone) under established protocols and in collaboration with providers.
  • Provide direct patient care as needed, including vital signs, history, screenings, immunizations, and medication administration.
  • Support and perform POC testing, including specimen collection, processing, and documentation.
  • Provide floor coverage as needed to ensure patient flow, efficiency, and adequate clinical support.
  • Partner with the Practice Operations Supervisor or Practice Manager to improve clinical workflows and optimize patient throughput.
  • Participate in quality improvement initiatives and patient experience enhancement projects.
  • Promote teamwork, accountability, and professional communication across the clinical and administrative teams.
  • Assist with supply ordering, equipment checks, and clinic readiness to support safe, efficient operations.
