About The Position

This position is accountable for the procurement of all aircraft parts, aviation fuels, shop commodities, and other materials required by the Bureau of Air Operations Aircraft Maintenance Section. This position deals with shipping and receiving of all materials, parts, commodities, and packages; physical inventory of all parts, fuels, oils, equipment and commodities; verification of invoices against receipts, data processing entries and reports for cost accounting, and control of the purchase order; aircraft parts warranty program; and the appearance and condition of the parts department. The incumbent monitors all aircraft parts purchased, inventoried, and works closely with bureau personnel and the Federal Aviation Administration (FAA). Requirements

  • Completion of a bachelor's degree majoring in logistics or supply chain management; OR Completion of two years of college PLUS two years of experience in logistics or in the supply chain field; OR Six years of experience in logistics or in the supply chain field.
  • Requires a valid driver’s license.
  • Requires occasional local travel.
  • Requires successful completion of a background screening.
  • This position has been found to meet the requirements in section 4A-101 of the Illinois Governmental Ethics Act requiring the occupant/employee to file a Statement of Economic Interest. The Illinois Governmental Ethics Act (5 ILCS 420/4A et seq.) requires certain state officials and employees to file annual Statements of Economic Interest with the Office of the Secretary of State that will be made available for examination and copying by the public. All employees required to file a Statement of Economic Interest are also required to file the Supplemental Statement of Economic Interest with the Executive Ethics Commission. (See Executive Order 15-09) Fines and penalties apply to untimely filings.

Responsibilities

  • Procures, receives and issues aircraft parts, fuels, and all other requirements of the Division of Aeronautics. Verifies received goods regarding quantity, quality, price, and the compliance with all state and federal regulations. Ships parts and handles warranty adjustments.
  • Verifies receiving documents against invoices and prepares for payment approval.
  • Maintains a computerized inventory and facilitates for an annual physical account.
  • Monitors contract status through the Section Chief of Aircraft Maintenance and Bureau of Administrative Services to ensure contracts are valid and to ensure proper pricing on invoices.
  • Maintains the purchase order system and issues purchase orders as required to outside vendors for purchase of new parts, repair of rotatable parts and commodities.
  • Ensures the inventory computer programs are updated with all parts transactions including but not limited to, purchases, issuances, returns to vendor, inventory adjustments due to physical count, shipping of cores, re-order points, proper parts pricing, and provides all required reports.
  • Maintains neat and orderly storage area for parts, commodities, chemicals, and bulk items in all warehouse areas which may not all be in one location.
  • Provides reports as needed to the Section Chief of Aircraft Maintenance and/or Bureau Chief of Air Operations as needed during the budget process.
  • Point of contact for the Federal Aviation Administration (FAA) during an audit of the repair station or during questions regarding inventory, purchase, or inspection procedures of said parts. May also be involved with Suspected Unapproved Parts along with the Chief Inspector.
  • Maintains records and surveillance necessary to comply with FAA regulations for “Detecting and Reporting of Suspect Unapproved Parts” and “Disposition of Unsalvageable Aircraft Parts and Materials” along with the Chief Inspector.
  • Performs duties in compliance with departmental safety rules.
  • Performs all duties in manner conducive to the fair and equitable treatment of all employees.
  • Performs other duties as assigned.
