About The Position

The Administrative Graduate Assistant serves as a key staff member in the Office of the President by providing professional support and assistance. The position serves as the initial impression of the Office of the President and/or the University. The Administrative Graduate Student Assistant represents the Office of the President to the internal and external constituents who interact with the University and the President. The Administrative Graduate Assistant handles details of a highly confidential and critical nature and manages multiple tasks. Office hours will be either – 8:30am – 12:30pm or 1:00pm – 5:00pm. NOTE: This position is 12 months and grants 18 graduate credits per year (Fall, Spring, Summer). This is a 20 hours per week position. At times, some evening and weekend hours are required. This position is available June 1, 2026

Requirements

  • Must have a bachelor’s degree in any field of study.

Responsibilities

  • Serves as front-line support to the Office of the President and the Division of University Administration: Greets visitors to the office Provides accurate information or refers guests to appropriate University personnel. Answers the main phone lines for the Office of the President, the Division of University Administration, and Human Resources. Makes calls on behalf of the Office of the President & Division, when directed. Receives and reviews mail daily for both the general University and the office of the President. Sorts general mail and redirects to the appropriate University department. Distributes mail for the President and coordinates follow-up action when needed or matters of urgency. Performs routine administrative duties; prepares letters or statements, as directed. Edits and proofreads communications, as requested. Provides oversight and maintenance of accurate office files. Assisting the Communications Manager and Administrative Coordinator with drafting correspondence, acknowledgements and thank you letters/notes. (i.e., President’s List, Donor acknowledgements, Presidential Inauguration Certificates, etc.)
  • General administrative support to other areas within the Division of University Administration: Handles ordering of flowers and gifts for the Office of the President, as requested. Assists with room reservations and catering requests as needed. Assists the Administrative Coordinator and divisional Operations Manager with coordination and logistics for Board meetings as requested. Assists with administrative support of the Department of Communications and Public Relations as needed. Attends planning meetings and other University meetings, as requested. Serves on University committees, as requested. Performs other duties as requested. Assists the Administrative Coordinator and divisional Operations Manager with coordination and logistics for divisional events/meetings (i.e., Board Day events, Dinners, Lunches, University Holiday Party, Commencement, etc.)
