About The Position

We are seeking a detail-oriented and experienced Warranty Administrator to serve as the critical link between our service department and OEM warranty systems — ensuring accurate and timely claim submissions, maximum reimbursement recovery, and full compliance with manufacturer guidelines. Ford-certified experience is strongly preferred, though candidates with experience across other OEM platforms are encouraged to apply. Compensation is competitive and will be determined based on the applicant’s qualifications and experience. Ford warranty experience is a strong advantage, but we believe great warranty administrators come from all OEM backgrounds. Requirements

  • Minimum 2 years of warranty administration experience in an automotive dealership
  • Ford STARS system experience strongly preferred
  • Familiarity with other OEM warranty platforms (GM, Stellantis, Toyota, Honda, etc.) considered
  • Solid understanding of service operations, RO workflow, and parts billing
  • Proficiency in a dealership DMS (CDK, Reynolds & Reynolds, Tekion, or similar)
  • Exceptional attention to detail and strong organizational skills
  • Effective written and verbal communication with both internal teams and OEM representatives
  • Ability to manage multiple priorities and meet submission deadlines
  • High school diploma or equivalent required; associate’s degree a plus

Responsibilities

  • Process and submit all warranty claims through Ford STARS or equivalent OEM portal accurately and on time
  • Review repair orders for claim eligibility, proper documentation, and parts & labor accuracy
  • Monitor claim status and follow up on pending, rejected, or returned claims
  • Reconcile warranty receivables and maintain aging reports
  • Coordinate with service advisors, technicians, and parts department to resolve discrepancies
  • Stay current on Ford warranty policies, TSBs, recalls, and program updates
  • Conduct internal audits to identify potential charge-backs before submission
  • Maintain complete, organized records in compliance with manufacturer standards
  • Assist service management with warranty-related reporting and metrics
