Requirements

  • High School Diploma or equivalent
  • Proficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.)
  • Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.
  • 1-3 years’ experience in administrative services or related fields

Nice To Haves

  • Additional education, certifications, or experience are a plus
  • Experience in a similar role such as automotive sales, wholesale operations, logistics coordination, or related fields preferred but not required
  • Familiarity with transportation logistics processes, including scheduling pickups, coordinating deliveries, and managing transportation providers preferred
  • Knowledge of work processes and tools is generally limited to own area of responsibility
  • Understanding of accounting principles and bookkeeping software may be required
  • Auction automotive/dealership experience preferred
  • Title work experience preferred

Responsibilities

  • Coordinate the transportation of vehicles from dealerships to auction houses efficiently and cost-effectively including scheduling pickups, coordinating with transportation providers, and ensuring timely delivery to the auction sites.
  • Acts as the key point of contact with the auction houses to correct any incomplete or missing administrative files associated with transferred vehicles.
  • Maintain accurate and up-to-date administrative files for each vehicle, including the location of physical titles, registration documents, mileage verification and any other pertinent paperwork; liaise with dealerships and auction house personnel to ensure all documentation is in order.
  • Consistently demonstrate strong communication and coordination skills for successful execution of sales transactions, logistics operations, and auction deliveries.
  • Regularly troubleshoot logistics problems, resolve paperwork discrepancies, or escalate issues to management or relevant stakeholders for resolution.
  • Perform all other duties and special projects as assigned
