About The Position

We are seeking a detail-oriented and technically proficient Autodesk Vault Administrator to serve as the primary steward of our engineering document management and CAD data ecosystem. This is a hands-on technical role responsible for the deployment, configuration, day-to-day administration, and continuous improvement of Autodesk Vault Professional across a multi-discipline engineering environment.   The successful candidate will be the go-to subject matter expert for Vault platform governance — managing vault architecture, lifecycle definitions, user access, document control workflows, and integration with Autodesk CAD tools including AutoCAD, Inventor, Plant 3D, and Civil 3D. A working knowledge of engineering document control best practices and the ISO/IEC standards that underpin them is expected; deep standards authorship is not a requirement of this role.

Requirements

  • Bachelor’s degree in Engineering Technology, Drafting & Design, Mechanical or Electrical Engineering, Information Technology, or a related technical discipline; equivalent professional experience in lieu of degree will be considered.
  • 4–8 years of progressive CAD and/or document management experience in an engineering consulting, EPC, manufacturing, or industrial environment.
  • Minimum 2 years of hands-on Autodesk Vault Professional administration experience, including ADMS Console, lifecycle configuration, category/property schema management, and user/role administration.
  • Proficiency with one or more Autodesk CAD platforms: AutoCAD, Autodesk Inventor, Plant 3D, or Civil 3D — including understanding of how these tools integrate with Vault.
  • Demonstrated ability to design and implement document control workflows, revision control processes, and vault folder structures in a multi-user engineering environment.
  • Working knowledge of engineering document control best practices and the ISO standards that govern them (ISO 9001 document control concepts; awareness of ISO 19650 is a plus but not required).
  • Solid understanding of data security, access control principles, and file/version management in a PDM/PLM environment.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfortable working within SharePoint or similar collaboration platforms.

Nice To Haves

  • Autodesk Certified Professional (ACP) or Autodesk Certified User (ACU) in Vault, Inventor, AutoCAD, or a related platform.
  • Experience migrating large volumes of legacy CAD data into Vault from file-based systems or alternative PDM platforms.
  • Familiarity with Autodesk Construction Cloud (ACC) / BIM 360 project setup, permission management, and document workflow configuration.
  • Scripting or automation experience: AutoLISP, iLogic, Dynamo, Python, or Vault API/REST integrations for workflow productivity gains.
  • Exposure to ISO 9001 QMS processes as they relate to engineering document control, nonconformance tracking, and internal audit within a consulting or engineering firm.
  • Experience supporting multi-office or multi-site Vault deployments with distributed user bases.
  • Familiarity with Product Lifecycle Management (PLM) concepts and configuration control (revision levels, release states, approval authorities).

Responsibilities

  • Deploy, configure, and maintain Autodesk Vault Professional, including ADMS Console, Vault Server, and client-side deployments.
  • Design and manage vault structures: folder hierarchies, category schemas, lifecycle state definitions, and custom property mappings.
  • Configure and enforce user roles, group permissions, and access controls within Vault.
  • Monitor vault health, perform routine maintenance, and coordinate backup and disaster recovery procedures with IT.
  • Manage Autodesk software licensing, deployment packages, and version upgrades across the design team.
  • Troubleshoot and resolve end-user Vault access, connectivity, and data integrity issues.
  • Develop and maintain automated workflows for drawing release, revision control, approval routing, and transmittal package generation.
  • Establish and enforce file naming conventions, numbering schemas, and metadata standards in alignment with engineering document control best practices.
  • Manage the full document lifecycle from creation through archiving, ensuring traceability and auditability of all revisions.
  • Support integration between Vault and CAD tools (AutoCAD, Inventor, Plant 3D, Civil 3D) to ensure seamless data flows and design-to-release workflows.
  • Assist with data migrations, including the import of legacy drawings and documents into Vault from external PDM/PLM systems or file-based archives.
  • Develop, publish, and maintain CAD and Vault standards documentation including SOPs, naming conventions, template libraries, and user guides.
  • Conduct periodic audits of vault data, drawing sets, and user compliance against established document control procedures.
  • Apply working knowledge of engineering document control best practices — including familiarity with relevant ISO standards (e.g., ISO 9001 document control principles) — to support the firm’s quality posture.
  • Maintain drawing template files, title block schemas, sheet formats, and standard parts libraries for all supported CAD platforms.
  • Develop and deliver Vault and CAD onboarding training for new staff and ongoing training for existing users.
  • Produce and maintain user-facing training materials, quick reference guides, tips, and best practices documentation.
  • Serve as a frontline resource for CAD and Vault technical support, escalating server-level or licensing issues to IT or Autodesk support as appropriate.
  • Mentor junior designers and drafters in proper use of Vault workflows, revision control, and data management practices.
  • Collaborate with Engineering, IT, and QA/QC leadership to continuously improve document management workflows and system performance.
  • Evaluate and recommend CAD/Vault enhancements, plugins, and automation opportunities (e.g., iLogic, AutoLISP, Vault API/REST scripting).
  • Participate in project startup activities to configure project-specific vault structures, templates, and deliverable standards.
  • Support Autodesk Construction Cloud (ACC) / BIM 360 configuration for project collaboration environments as needed.
