About The Position

The purpose of this classification is to plan, organize, coordinate and supervise a wide variety of athletic programs and sports\-related activities within the Parks and Recreation Department. This position oversees youth and adult athletic leagues and other sports programs as well as sports camps and other community\- based activities. The Athletic Coordinator works closely with local sports associations, partner organizations, and facility staff to ensure high\-quality, inclusive, and engaging program delivery. This position reports to the Parks and Recreation Division Manager

Requirements

• Bachelor’s Degree in Recreation Administration, Physical Education, Leisure Services or related field; supplemented by three years of progressively responsible experience in recreation programming; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid Georgia driver’s license. May be required to obtain and maintain the following certifications: CPR and Certified Parks and Recreation Professional.

• This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
• Essential functions are regularly performed without exposure to adverse environmental conditions.

Responsibilities

• Supervise, direct, and evaluate assigned staff, processing employee concerns and problems, directing work, counseling, disciplining, and completing employee performance appraisals.
• Organize and oversee athletic programs and activities; collaborate with community partners; attend sports association board meetings; administer and communicate program policies related to scheduling, league rules, safety, and risk management; process participant registrations; and identify and report facility or equipment maintenance needs.
• Coordinate daily operational activities by organizing, prioritizing, and assigning work; developing and distributing athletic schedules; ensuring appropriate staffing levels for athletic programs and events; monitoring work in progress; reviewing completed work for quality and compliance; and providing guidance and technical support to staff as needed.
• Plan, implement, and coordinate athletic programs, including youth and adult leagues; schedule athletic clinics, workshops and other programs connected with athletic services; reserve facilities; oversee instructors, staff, and volunteers; provide information and direction to participants and the public; process registrations; and manage programs in compliance with local, state, and federal regulations.
• Promote athletic programming, association registrations, and summer athletic camp programs by developing and distributing promotional materials such as program guides,
• website updates, emails, news releases, flyers, brochures, and presentations. Establish production schedules; submit content and images to contractors as needed; and make presentations to schools, community organizations, civic groups, and the general public.
• Assist with the administration of departmental computer systems, including system setup, configuration, and monitoring. Provide training, technical support, and troubleshooting assistance to internal staff, instructors, and public users as needed.
• Perform general customer service and administrative duties, including receiving and responding to inquiries, concerns, and complaints related to recreation programs, policies, and services. Attend meetings; assist customers in person and by phone; prepare reports and correspondence; maintain files and records; and enter data into computer systems.
• Assist in developing and implementing athletic program budgets; make recommendations regarding budget requests; monitor expenditures to ensure compliance with approved budget allocations.
• Plan and oversee all athletic activities for the City.
• Ensure departmental compliance with all applicable laws, codes, rules, regulations, standards, policies, and procedures. Promote adherence to established safety practices; monitor work environments and program operations to ensure the safety of staff, participants, and the public; and initiate corrective actions when necessary.
• Communicate effectively with supervisors, City staff, volunteers, instructors, vendors, community partners, and the general public to coordinate work activities, provide program information, review project status, resolve issues, and exchange guidance or direction.
• Prepare and complete a variety of forms and documents, including reports, correspondence, time sheets, schedules, performance evaluations, purchase orders, program proposals, event reports, production schedules, newsletters, and other related materials.
• Receive, review, and process various records and documentation such as reports, invoices, instructor payment records, registration payments, attendance logs, time sheets, program proposals, policies, procedures, manuals, and other materials in accordance with departmental guidelines.
• Maintain current knowledge of applicable policies, procedures, laws, and regulations; stay informed of emerging trends, best practices, and advancements in the recreation field; review professional literature; maintain professional affiliations; and participate in continuing education, training, workshops, and conferences as appropriate.
• Operate a personal computer and standard office equipment to perform essential job functions, including the use of word processing, spreadsheet, database, registration, and other applicable software systems.
• Perform other related duties as assigned.
