The Athletic and Activities Program Coordinator at King’s Schools will play a pivotal role in supporting the growth and success of a variety of different programs. Provide administrative financial and operational support, including managing budgets, purchase orders, payroll and athletic facility scheduling. Oversee event logistics, scheduling and coordinating transportation and ensuring compliance with safety and organizational policies. Support coaching staff, manage end of season awards and maintain comprehensive records for athletes and staff. Manage the tracking of student eligibility and certifications.

  • Financial and Operational Management: Assist with the preparation and tracking of the athletic budget.
  • Prepare purchase requisitions and orders for athletic supplies.
  • Process athletic purchase orders, contracts, reimbursements and coach payroll ensuring timely execution and accurate recordkeeping.
  • Oversee scheduling, agreements, insurance and stakeholder coordination for athletic facilities, including Schirmer Auditorium.
  • Work with Athletic Director to develop, manage and monitor the department’s Athletic budget.
  • Maintain thorough accountability procedures for funds collected from athletic contests or other sources.
  • Reconcile and track all Coaches’ credit card expenditures for accuracy.
  • Manage purchase requisitions and orders for athletic supplies, ensuring budget compliance and proper accounting.
  • Event Scheduling and Operations : Schedule interscholastic athletic contests and reschedule all postponed athletic contests in accordance with Conference regulations.
  • Communicate with opposing schools and ensure timely submission of team rosters to each school.
  • Coordinate the scheduling of officials and ensure their payment for required sports.
  • Develop transportation schedules and work with the transportation supervisor to manage details and logistics for away games and events.
  • Help organize and schedule athletic banquets, award ceremonies, and department fundraisers.
  • Coordinate safety guidelines and procedures for all athletic events to maintain a safe environment for participants.
  • Coaching and Recognition Support: Schedule prospective coaching staff interviews and inquiries, coordinating schedules with the Athletic Director.
  • Manage end-of-season awards including letter certificates, all conference awards, plaques awards, state participation certificates and awards night.
  • Work with Junior High AD to execute coaching agreements, payroll and HR processing.
  • Administrative and Compliance Support: Maintain accurate and comprehensive filing systems for: Athletic records Staff Athlete documentation (I.E.: eligibility forms, physicals, attendance and academic progress)
  • Manage Coach Certifications – staying up to date with CRISTA onboarding and WIAA requirements.
  • Track student eligibility and academic reports for athletes.
  • Document all athletic injury forms, ensuring copies are submitted to the high school secretary properly filed.
  • Activities and Event Support: Support Secondary events.
  • Work collaboratively with supervisors, coworkers and staff.
  • Perform other related duties as assigned.

  • EDUCATION Associate degree from an accredited college or university recognized by the United States Department of Education or equivalent . Relevant work experience may be substituted for education on a year-for-year basis.
  • EXPERIENCE Previous roles working in an office, doing bookkeeping, or administrative support.
  • SOFTWARE / EQUIPMENT KNOWLEDGE Strong technology skills, including proficiency with office software, data entry, and record keeping.
  • EDUCATION Bachelor's Degree
  • EXPERIENCE Previous experience within an athletic department or secondary school office.
