About The Position

Asst Director of Business & Support Services (Mon-Fri 8am-5pm; ability to be on-call as needed) This role guides patients and families through treatment financing by identifying coverage options, securing payment arrangements, and removing financial barriers to care across residential and outpatient settings. The position collaborates closely with clinical, utilization review, and business teams to ensure continuity of care, regulatory compliance, and accurate patient financial management. It also supports facility operations by assisting with oversight, training, and coverage of support staff departments as needed. Requirements

  • Associate’s degree in a business-related field or equivalent work experience.
  • Two (2) plus years of work experience in an office or medical office setting.
  • Proven experience in supervision or leading a team including training and/or mentoring
  • Valid unrestricted driver’s license.
  • Cardiopulmonary Resuscitation (CPR) certification; or the ability to obtain within 90 days of hire.
  • Effective oral, written and interpersonal communication skills; demonstrated ability to speak effectively with peers, employees, leadership, and patients.
  • Strong interpersonal skills with the ability to build strong and mutually beneficial relationships with relevant parties.
  • Self-directed and motivated to accomplish tasks, meet objectives and committed timelines
  • Well-developed analytical skills; ability to assimilate large volumes of information, prioritize issues, form conclusions and determine appropriate action.
  • Responsive and flexible; ability to adapt to changes in the work environment and modify approaches or methods to best fit the situation.
  • Ability to prioritize competing demands and effectively manage multiple tasks and/or projects while being responsive and flexible.

  • Proficient in MS Office applications, which include Outlook, Word, and Excel.

Nice To Haves

  • Bachelor’s degree in a business-related field.
  • Three (3) plus years of progressive work and relevant industry experience.
  • Three (3) plus years of supervisory or management experience.
  • Work experience with healthcare accreditation and/or within the substance abuse treatment industry.
  • Three (3) plus years of work experience in financial counseling, financial planning, credit underwriting, or healthcare office management.

Responsibilities

  • Leads and coordinates all patient financial planning activities at all levels of care in residential and/or outpatient facilities; includes identifying payment sources of treatment (insurance, private pay, or patient financing), advising patients of alternative options, and/or securing patient financing for treatment.
  • Serves as a liaison between residential and outpatient facilities to ensure continuity of care.
  • Discusses alternative and non-traditional funding sources with patient/patient families when traditional insurance coverage is not available.
  • Advises patients/patient’s family of financing options available; answers questions, provides estimates of financial responsibility, and reviews payment arrangements.
  • Collects and reviews patient financial data and determines eligibility for financial assistance including patient’s ability to pay and secure payment arrangements in accordance with company policies and programs and regulatory compliance.
  • Participates in multi-disciplinary case review; advises facility management team and clinical counselor of any related financial liability to Valley Hope as well as financial issues that may impact or limit a patient’s treatment days (inclusive of any impact when a patient is transitioning to the next level of care).
  • Assists the patient and/or family members in the process of completing and submitting applications for securing loans through third-party loan programs and assists in resolving any issues as requested.
  • Works with Utilization Review and serves as a point of contact for questions or concerns related to all patient insurance inquiries.
  • Maintains routine contact with the Business Office, Utilization Review, and insurance providers, in support of patient financing and treatment activities.
  • Collaborates with the Director of Business and Support Services for tracking and recording patient financial activities against revenue and budget goals.
  • Meets or exceeds productivity metrics tied to annual revenue and budget goals; identifies bad debt risk and advises facilities management of potential impacts to annual goals.
  • Maintains a current working knowledge of patient financing and alternative resources to traditional insurance for treatment.
  • Assists with processing of weekly accounts payables as directed which may include computer data entry, statement reconciliation, and balancing of accounts.
  • Participates in all assigned local, state, or other regulatory body inspections.
  • Works with Director of Business and Support Services and support staff department leads to create any plan of correction and provide training to others in the department.
  • Provides support to Director of Business and Support Services in the management of facility financial activities including facility accounting and facility banking, with a focus on accounts receivable management; manages and/or collaborates with the Counselor and/or Director of Business and Support Services on patient accounting activities based on the needs of the facility.
  • Assists Director of Business and Support Services as directed in supervising support services staff including the business office staff, dietary staff, housekeeping staff, and maintenance staff.
  • Provides routine training, performance feedback, ongoing leadership, and mentoring in support of staff development.
  • Assists Director of Business and Support Services with covering vacant shifts in support staff departments as needed.
  • Participates in facility performance improvement activities with an emphasis on financial, and support staff services.
  • Collaborates with facility management staff to identify and implement improvement activities as appropriate across the facility.
