About The Position

Centific is seeking a highly organized and proactive Associate Vendor Managers – Location Logistics to support our growing data collection programs. This role is responsible for sourcing, securing, and coordinating physical locations for AI data collection projects, including homes, commercial spaces, labs, medical offices, retail environments, and other real-world settings.

Requirements

  • 3–5+ years of experience in project coordination, operations, facilities, event logistics, or real estate coordination.
  • Experience working with commercial leases, short-term rentals, or venue sourcing.
  • Strong negotiation and vendor management skills.
  • Excellent organizational and time management abilities.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong written and verbal communication skills.

Nice To Haves

  • Proficiency in Microsoft Office, Google Suite, and project tracking tools.
  • Experience in AI, research studies, production shoots, or event operations is a plus.

Responsibilities

  • Location Sourcing & Booking · Identify, research, and secure rental properties and commercial spaces for data collection activities (e.g., homes, retail spaces, clinics, offices, warehouses).
  • Coordinate short-term and long-term leases (daily, weekly, monthly, 3–6+ month rentals).
  • Work with real estate agents, property managers, Airbnb hosts, brokers, and commercial landlords.
  • Negotiate rental terms, pricing, insurance requirements, and usage approvals.
  • Vendor & Site Management · Serve as the primary point of contact for property owners and venue operators.
  • Coordinate walkthroughs, site inspections, and compliance approvals.
  • Ensure locations meet client requirements (layout, lighting, square footage, accessibility, security).
  • Manage contracts, NDAs, insurance certificates, and access agreements.
  • Operational Coordination · Align location availability with participant scheduling and program timelines.
  • Coordinate staging vendors, movers, junk removal, furniture rental, and set design teams.
  • Support build-outs of temporary lab environments (living room, kitchen, medical office, retail, etc.).
  • Ensure compliance with local regulations, permits, and zoning requirements.
  • Logistics & Execution · Oversee site readiness prior to data collection kickoff.
  • Coordinate equipment delivery and pickup.
  • Ensure spaces are restored to original condition post-project.
  • Manage budget tracking for rentals and site-related expenses.
  • Risk & Compliance · Ensure participant safety and property compliance standards.
  • Manage insurance documentation and liability coverage.
  • Proactively identify and mitigate risks related to location use.
