About The Position

Travel Expense Senior Associate is responsible for managing General Atlantic’s travel and expense platform, private aviation usage, and expense reporting under the direction of the Head of Travel. Day-to-day responsibilities include supporting the overall travel program, managing the expense report process, providing expense analytics to leadership, tracking use of private jets, and implementing travel and expense projects. The candidate will also own relationships with various external vendors, internal stakeholders, and support Executive Assistants.

Requirements

  • Bachelor’s degree required
  • 3-5 years of relevant experience preferred
  • Strong analytical skills with the ability to interpret and present data clearly
  • Proficiency is all Microsoft Suite products with advanced skills in Excel specifically (e.g., pivot tables, lookups, data analysis)
  • Hands-on experience with Workday Expense preferred
  • Experience managing and leading multiple projects simultaneously that include technology requirements
  • Experience managing corporate card programs, preferably AMEX
  • Strong problem-solving skills with a customer-service mindset
  • Ability to work effectively across multiple regions and time zones
  • Excellent communication and training skills
  • Background in finance operations, expense management, or shared services
  • Ability to work independently and apply existing knowledge to solve new problems
  • Proactive and adaptable in a fast-paced environment

Responsibilities

  • Support the overall travel program by working with external vendors and answering general queries
  • Work with IT to implement projects and initiatives relating to technology platforms including the expense platform
  • Manage T&E project timelines and milestones working with IT, Accounting, and other business stakeholders globally
  • Work with external vendors on business reviews, contracts, and issue resolution as needed
  • Monitor accuracy of T&E reporting to ensure accurate reporting and fund allocation
  • Ensure T&E process documentation is up to date
  • Manage policy compliance information with Accounting and Finance
  • Conduct weekly expense training for all US new hires and maintain expense training material
  • Maintain intranet resources related to travel and expense documents
  • Interact with employees to address policy related questions/concerns
  • Review expense reports for employees to ensure adherence to the travel and expense policy
  • Work as main point of contact to support the administration of the AMEX Corporate card program for US employees including card issuance, maintenance, and issue resolution
  • Produce monthly usage reports to be viewed by senior leadership
  • Maintain expense dashboards for department leads
  • Assist with annual budgeting process and preparation of financial data
  • Produce reports as requested by management and senior leadership
  • Analyze travel and expense data to identify trends, risks, and opportunities for process improvement
  • Support the firm’s private aviation program by working with private jet management company partners.
  • Receive initial private flight requests and ensure all required information is collected before escalating to senior management for final approval.
  • Work as main point of contact for private charter requests
  • Maintain the Company’s private flight database to ensure accurate reporting of usage and monthly accruals.
  • Reconcile monthly invoices received from private charter companies.
  • Work closely with Private Charter partners to manage proper utilization of flight hours and corporate jets to ensure pricing optimization and maximize revenue of third-party usage
  • Liaise with accounting teams to ensure accuracy of allocations for business and personal usage of charters
