About The Position

Performs difficult skilled clerical and responsible administrative work; prepares and maintains fiscal and related records; serves as office manager and primary clerical support to a principal; does related work as required. Work is performed under the general supervision of a principal. Supervision may be exercised over school office clerks and aides.

Requirements

  • Thorough knowledge of standard office practices, procedures and equipment
  • Thorough knowledge of school system routine and procedures
  • General knowledge of bookkeeping terminology, methods and procedures
  • Thorough knowledge of business English, spelling and arithmetic
  • Thorough knowledge of personnel and payroll procedures, financial record keeping and banking procedures
  • Ability to establish harmonious working relationships with others
  • Ability to work under pressure
  • Ability to organize and perform work independently
  • Ability to meet the public effectively
  • Ability to plan and supervise the work of others
  • Any combination of education and experience equivalent to graduation from high school supplemented by various courses in business, typing, bookkeeping and extensive experience in clerical and/or accounting work.

Responsibilities

  • Serving as school office manager and primary clerical support to the Principal and staff
  • Overseeing and participating in the preparation and maintenance of staff files and records
  • Assisting students, teachers and parents.
  • Handles a variety of routine technical and administrative assignments
  • Sets up and maintains office procedures and filing systems
  • Meets and screens visitors, answers telephone and processes mail
  • Types reports, requisitions, invoices, schedules
  • Performs budgetary and purchasing procedures in conformance with established guidelines and specific instructions
  • Maintains computerized staffing lists, distributes checks
  • Supervises and trains subordinate clerical personnel
  • Promote the M/WBE Program and M/WBE participation in the contracting and procurement activities through outreach and solicitation
  • Document M/WBE Program outreach
  • Adhere to the procurement guidelines of the M/WBE Program policy
  • Performs related tasks as required.
