About The Position

The Associate Director - Hospital Relations supports the creation and implementation of enterprise partner engagement best practices for the CHOP Foundation. This role contributes to the successful planning and completion of culture of philanthropy initiatives each year, providing strategic project management for Hospital Leadership Council, CEO Council updates, philanthropic training programs, and supporting executive leaders in their partnership with the Foundation. This position assists Hospital Relations program leadership with managing the operations, communications, financial and strategic initiatives related to "big ideas" towards the goal of securing 8- and 9-figure philanthropic gifts to advance CHOP's ability to transform pediatric medicine. The ideal candidate will be a strong project manager, communicator (written and verbal) and collaborator with experience working with executive leadership, volunteers, donors, and with the ability to work both independently and as part of a team to make data-driven recommendations, utilizing dashboards and reports to optimize the work of the Hospital Relations program. This role serves as the "strategic bridge" between enterprise priorities and Foundation strategy, responsible for planning, organizing and executing strategies and communications to enhance Foundation and enterprise partnerships.

Requirements

  • Bachelor's Degree
  • At least five (5) years of business development, fundraising, sales administration or related project management experience
  • Advanced proficiency with office software (Microsoft Office) including email & calendar, word processing, spreadsheet, and presentation software (Outlook, Word, Excel, PowerPoint)
  • Advanced proficiency with customer relationship management software (Salesforce, Raiser's Edge)
  • Advanced proficiency with data visualization& analytic tools (Tableau, Qliksense)

Responsibilities

  • Leads operations and provides strategic support for Big Ideas
  • Oversee the master list of big ideas, ensuring its accuracy and visibility to stakeholders
  • Provide project management for big ideas projects in development, coordinate standing meetings with stakeholders from across the Foundation, ensure dissemination of completed collateral to the frontline team, and measure the impact of big ideas
  • Provide toolkits and training to empower frontline team with best practices for developing gift structures
  • Independently conduct visioning and budgeting sessions with enterprise partners as needed
  • Adapt, refine and optimize all processes, tools, and procedures related to Big Ideas and the storage of funding opportunities from across the enterprise
  • Leads operations and provides strategic support for Culture of Philanthropy initiatives focused on elevating leader engagement
  • Ensure the successful planning, project management, timelines and tracking of initiatives to activate hospital leadership in support of the campaign such as the Hospital Leadership Council, CEO Council, Advancement Partners training program and the engagement of additional executive leaders – also providing tools to steward their contributions
  • In conjunction with the Executive Director and other team members, develops, executes, and measures the impact of strategies to grow culture of philanthropy
  • Develop tools and collaborate with the COP working group and Foundation staff to ensure that overall enterprise partner engagement is well-integrated and provides the most effective processes for onboarding their partnership and securing their gifts of time, ties, talent and treasure
  • Provide strategic support for prospect portfolio focused on 7-figure enterprise priority fundraising
  • Tracks donor activity, drafts communications and briefing materials, ensuring the strategic solicitation and stewardship of donors
  • Ensures cohesive communication on behalf of Hospital Relations
  • Serves as a trusted partner to the Executive Director in preparing for meetings including developing and assisting with meeting agendas, materials, PowerPoints, and minutes
  • Review meeting notes with ED, confirming follow-up task lists resulting from meetings and identifying tasks to be completed by Hospital Relations or other appropriate members of the Foundation team, and ensure their completion
  • Acts as the Hospital Relations project manager, including serving as primary liaison between the Hospital Relations team and Project Management Team on Workfront projects, managing core processes in Workfront, seeking additional training on Workfront functionalities as well as opportunities to leverage this tool to make the Hospital Relations team more efficient and effective
  • Interacts and communicates in person, by phone, and by email with Hospital leadership and other stakeholders across the enterprise
  • Acts as a liaison to teams across the Foundation, nurturing close collaborative relationships with Executive Initiatives/Campaign, Development Communications, Prospect Management, Principal Giving, and the VP Development office and team members
  • Lead Special Projects on behalf of Hospital Relations
  • Respond to or proactively identify the strategic needs of Foundation and enterprise leadership - translating emerging, complex or ambiguous challenges or opportunities into impactful, well-defined cross-functional projects
  • Lead, manage and drive innovative and emerging projects, presentations, or programs that vary in nature, definition, scope and size
  • Develop workplans, organize resources, monitor and report progress and ensure shared accountability of project outcomes
