About The Position

Diamond Infrastructure Solutions is seeking an Associate Commercial Excellence Analyst to support the Diamond Customer Management Team, including team members located in the Gulf Coast region. In this role, you will provide administrative assistance to the Diamond Customer Management Team as well as select members of the Diamond Executive Leadership Team and Diamond Leadership Team members based at Louisiana Operations. (e.g. calendar, admin, and travel support). Additionally, this role will act as the SharePoint Administrator for the Diamond Customer Management Team which includes creating and maintaining both internal and external SharePoint sites.

Requirements

  • A minimum of a High School Diploma or GED/equivalent
  • 4 or more years of relevant experience
  • A minimum requirement for this U.S. based position is the ability to work legally in the United States.
  • No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process

  • SharePoint Administration & Content Management- Deep experience creating, maintaining, structuring, and securing SharePoint sites and repositories (internal/external), including metadata, permissions, audits, and lifecycle management
  • Information Security & Confidential Data Handling- Strong understanding of information security best practices, proprietary classification guidelines, access controls, and safeguarding sensitive and intellectual property–related information
  • Document & Records Management -Expertise in document control, records retention, compliance audits, archiving/deletion processes, and operating discipline for content repositories
  • Administrative & Executive Support- High-level administrative capability supporting leadership teams: calendar management, travel, expenses, meeting logistics, agendas, minutes, and general office operations
  • Operating Discipline & Process Governance (ODMS)- Ability to execute, maintain, and improve operating discipline management systems, policies, procedures, and standardized work processes across teams and platforms
  • CRM & Business Systems Administration- Hands-on experience managing CRM tools, customer/supplier codes, purchase requisitions, outage notifications, capital invoice requests, and related business system data accuracy
  • Cross-Functional Coordination & Communication- Strong collaboration skills to work with customer management teams, leadership, IT, security, and external tenants—facilitating meetings and serving as a central coordination point
  • Technical Productivity & Reporting Tools- Advanced proficiency with PowerPoint, Excel, SharePoint, and other reporting tools to create presentations, routine reports, and structured team documentation

Responsibilities

  • Provide administrative assistance to the Diamond Customer Management Team and Diamond ELT and DLT members located at Louisiana Operations. (e.g. calendar, admin, and travel support).
  • Participate as an active team member, working both independently and in cooperation with other team members to complete projects and assignments in a timely manner.
  • Work independently to produce quality results.
  • Assist with planning of team meetings (e.g. including teleconferencing, and videoconferencing involving on-site and off-site events. Also assist with agenda preparation, meeting minutes, and conference room set-up).
  • Facilitate bi-weekly Customer Management team meeting.
  • Serve as Document Management Specialist for Customer Management Team – own the Customer Management Team SharePoint
  • Serve as ODMS focal point for team (MOC, document management, etc).
  • Request purchase orders; manage supplies, FedEx shipping, work orders, file share management, and time exception reporting.
  • Calendar management for one or more individuals.
  • Presentation creation and modification via PowerPoint and Excel.
  • Maintain team calendars (holiday, vacation, etc.).
  • Conference room scheduling.
  • Process expense reports in a timely manner.
  • Perform general administrative tasks including mail, records and file maintenance, travel coordination, procurement of office supplies.
  • Prepare routine reports utilizing various software packages.
  • This person will have access to sensitive and confidential information and must be able to keep such information confidential.
  • Work is primarily identified and managed independently, taking initiative and responsibility for most administrative needs and opportunities.
  • Creating, updating and modifying Purchase requisitions
  • Creating, updating and modifying customer codes
  • Creating, updating, and modifying supplier codes
  • CRM tool management- support opportunity entry and updates
  • Managing Monthly Outage Notification Processes as required per agreements
  • Managing Monthly Capital Invoice Requests for Tenants as required per agreements
  • Managing documents for tenants on I park sites (contacts, service guidelines, demarcation catalogs, etc)
  • Creating and managing Distribution lists for Customer Management Team and Tenants
  • Execute, maintain and implement applicable operating discipline for websites and SharePoints
  • Collecting, inventorying, organizing and managing content stored in SharePoint according to security, organization, presentation and work process requirements.
  • Conducting annual Records Management audit to assure that out-of-service content is archived or deleted.
  • Ensuring that intellectual property of highly sensitive and confidential information is not jeopardized, while still providing accessibility to those requiring the information through strict guidelines and permissions evaluations.
  • Act as the back-up administrator for the Diamond websites and associated file shares in accordance with Dow standard intranet requirements.
