About The Position

Berghoff Design Group (BDG) is seeking an experienced, organized, team-oriented individual to join their growing team as an Associate Client Services Coordinator. This role provides administrative, operational, and client service support to ensure efficient office operations and strong communication between staff, field teams, and clients utilizing the BDG Difference. The coordinator will maintain organized systems, accurate records, and support daily workflows while contributing to a professional, client-focused environment. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, client-focused environment. Requirements

  • 2+ years of experience in administrative or client service roles, preferably in landscaping, construction, or service industries.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Excel and CRM platforms.
  • Ability to manage multiple tasks and prioritize effectively.

Nice To Haves

  • Accounts Receivable is preferred
  • Aspire experience preferred
  • Experience with email marketing tools such as MailChimp is a plus.

Responsibilities

  • Provide clerical support to office staff across departments
  • Maintain organized filing systems daily work logs, billing, and invoices
  • Enter and track approved AMEX Receipts/ vendor packing slips in systems such as Aspire.
  • Create and process purchase orders
  • Maintain office supplies, forms and apparel inventory
  • Keep office workspace clean, organized and presentable
  • Handle incoming and outgoing mail
  • Answer and direct incoming office phone calls
  • Assist with customer communication and service updates
  • Support proposal preparation and client documentation
  • Answer questions relating to services
  • Resolve client concerns and escalate complex issues, as needed
  • Maintain positive client relationships
  • Update databases and maintain accurate records
  • Open and close work orders in internal systems
  • Assist with daily field paperwork
  • Print and distribute daily work logs
  • Match vendor invoices with packing slips and verification
  • Support staff with assigned project-based tasks
  • Assist with workflow coordination between office and field teams
